Database and Prospect Research Coordinator

 Harlem School of the Arts (HSA) seeks a high performing individual to join a growing fundraising team. The team consists of chief development officer and two institutional giving professionals. HSA is in a renaissance having completed an extensive capital project to ensure additional sources of revenue to support youth development programs in the performing and visual arts. Located in the heart of Harlem’s Hamilton Heights, HSA is the premier youth development organization serving the Harlem community for over 55 years. HSA’s goals to increase funding support for students and their families requires expanding the current donor base and developing new relationships. The database and prospect research coordinator will be an integral member in reaching HSA’s ambitious goals.   The successful candidate will be a self-starter, will enjoy interacting with a multicultural community and be passionate about the arts. Job Summary:

The Database and Prospect Research Coordinator will support the growing Development team at this vibrant, mission-based arts organization. He or she will be able to manage multiple priorities in a fast-paced environment. The successful candidate will have exceptional attention to detail and strong oral and written communication skills.

This is a full-time position reporting to the Chief Development Officer. Occasional scheduled evening hours for special programs and events may be required.

Prospect Research Responsibilities

  • Researches high net worth individuals, donor prospects, alumni, board candidates, private companies, and public corporations. Assesses their philanthropic interests, giving capacity, propensity, and readiness.
  • Enters and updates biographical information on donor database. Assists in data verification and quality control. Maintains comprehensive files on donors, prospects, fundraising projects, and fundraising initiatives.
  • Creates and regularly disseminates reports to keep leadership and board of directors apprised of institutional and individual prospect news with relevance to fundraising.
  • Uses print, electronic, and Internet-based methods to pursue research, and collect facts, and filters through the lens of fundraising. Identifies and evaluates new research tools to remain continually up-to-date with products and services.
  • Makes recommendations on prospect's gift capacity and likelihood ratings; assists solicitors in formulating "ask" amount and strategy.
  • Produces specialized research targeted to prospect portfolios and develops solicitations strategies. Identifies funding projects and recommends solicitors.
  • Develops and adheres to ethics and confidentiality policies so that researchers are in compliance with industry standards, federal regulations), institutional guidelines and policies.

Database Administrator Responsibilities

  • Assist with identifying and implementing data integrity measures, developing a routine data hygiene practice including maintaining records, initiating and updating coding, merging duplicate records, completing standard imports and clean-up projects as assigned.
  • Provide regular and ad-hoc fundraising reports to the development team and senior leadership.
  • Scan, store, and update donor records and documentation appropriately in the database and for the fiscal team.
  • Process all gifts including adjustments, credit cards gifts and distribute to the fiscal team and document in the database.
  • Produce the daily/weekly gift transactions reports and distribute to appropriate staff.
  • Produce and mail weekly gift acknowledgements to donors.

Knowledge, Skills and Abilities

  • Ability to think critically, assess situations, and synthesize information.
  • Strong writing skills and attention to detail.
  • Superior organizational skills.
  • Intellectual curiosity and resourcefulness in pursuing knowledge.
  • Expertise with donor research methodology and practice, including wealth indicators, moves management, and data analysis.
  • Proven ability to responsibly handle confidential and sensitive information and abide by ethics standards and privacy policies.
  • Demonstrated ability to independently coordinate production of projects accurately and on deadline.
  • Knowledge of general principles of major gifts fundraising.
  • Proven ability to work collegially and collaboratively and to work effectively under deadline.
  • Experience with advancement research or working in a development office.
  • Proficiency with fundraising databases and familiarity with a broad range of research tools.
  • Strong Microsoft Office Suite skills.
  • Mastery of Excel.
  • Flexibility and adaptability to changing priorities in a fast-paced environment

Education and Background Qualifications

  • Bachelor's degree required
  • Approximately 2-3 two years related experience
  • Knowledge of, and experience with donor database programs such as Neon, Raiser's Edge, BENefactor is desired
