Summary of Development Department

The Development Department raises funds for the entire AFSC with development staff based both in the National Office and some regional offices.  This is carried out by mail appeals to current and prospective donors; online giving; person-to-person solicitation of annual contributions, outright major gifts and planned gifts; cultivation of grants from foundations, corporations and other institutions; as well as other methods as are appropriate and feasible. 

Summary of Principal Responsibilities

Assist the Development Department in meeting its goals to promptly process and follow up on donors’ gifts with primary responsibility for all gift data processing.  Assist in office management; oversight of development department expenses.  Act as a liaison between Development, Finance, HR, facilities management, and the IT Department. Support Philadelphia-based Leadership and Planned Gift Officers.

Essential Functions/Responsibilities:  The key responsibilities of the Development Associate include the following:

  1. Interact with donors on ASFC’s toll free phone line: answering questions, handling gifts, directing callers to appropriate sources of information.
  2. Handle inquiries from donors, financial managers and brokers for gifts of securities & authorize sale of such gifts.  Research and resolve any issues.  Maintain tracking systems.  Ensure timely, accurate receipts are sent.
  3. Act as the primary data processor of all gifts and donor information in Salesforce. Execute data processing in a timely and accurate way. Possess the knowledge and skills required to handle special gifts including stocks, grant payments, major gift payments, bequest payments, and pledges.
  4. Provide administrative support to department by processing expense reports and check requests, maintaining filing system, equipment inventory, and leave reports.  Order supplies for department.
  5. Organize logistics and help staff (e.g. taking minutes) department meetings and board meetings related to development and finances (current Stewardship Committee).
  6. Assist with the onboarding of Development staff through the set-up of network accounts, preparation of workspace.
  7. Handle all departmental mail.  For the director, prioritize mail for immediate response, referral. Take action as appropriate.
  8. Provide support to gift officers across the U.S. with special projects, such as preparing for donor events, calls or tours, mailings, etc.
  9. Provide occasional support for Associate General Secretary Advancement.
  10. Stay up to date on current AFSC programs and translate impact of giving on program work to donors.
  11. Other duties as assigned.

 

Minimum Qualifications

Education: Bachelor’s degree in business administration or related field or equivalent experience required.

Experience:  Four years’ experience in development or office management required. 

Other Required Skills and Abilities:

  1. Demonstrated ability to implement on-going responsibilities and tasks with minimal supervision.  Able to identify areas of work requiring new initiatives, to consult as appropriate, and to implement agreed-upon solutions independently.
  2. Ability to plan, organize, and prioritize work. Proven capacity to handle stress, conflict, multiple tasks and interruptions with creativity. Willingness and ability to be persistent, to work under deadlines and maintain a cooperative spirit in a pressured work environment.
  3. Demonstrated experience in oral communication with ability to address a wide spectrum of individuals in person and on the phone.
  4. Demonstrated ability to maintain records and filing systems, both hard copy and electronic. 
  5. Demonstrated ability to be accurate and handle details and confidential information. 
  6. Demonstrated experience in database use required.  Knowledge of Salesforce required.  Proficiency in word processing, spreadsheets, and email required.  Knowledge of Microsoft Word, Excel, Access, and Outlook desired. 
  7. Ability to work a morning, evening or week-end, particularly during high giving season.  Ability to travel for short periods if requested.
  8.  Ability to work as part of a “virtual” team, supporting development staff in regional offices.

Compensation:  Salary Range begins at $50,922 with minimal flexibility based on experience –Exempt – Comprehensive medical and hospitalization plan; term life, accident and salary continuation insurances, defined benefit pension plan, plus fringe benefits; participation in unemployment and worker’s compensation and social security.
