Planned Parenthood Federation of America (PPFA) is the national umbrella organization for the nation’s leading network of women’s health care providers, educators, and advocates, serving women, men, teens and families. Planned Parenthood Action Fund (PPAF) is the advocacy and political arm of PPFA. For over 100 years, Planned Parenthood has done more than any other organization in the United States to improve women’s health and safety, prevent unintended pregnancies, and advance the right and ability of individuals and families to make informed and responsible health care decisions.     Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund seek a dedicated Direct Response Specialist to oversee the department’s finances and operations. This role reports to the Senior Manager in the Direct Response department of PPFA.   The Direct Response department raises funds up to $25,000 from individuals through mail, telemarketing, canvassing, and online solicitations. The Direct Response team generates $40MM in revenue annually and is the largest producer of pay orders for the Finance department. Purpose
  • The Direct Response Specialist will be responsible for the management of department finances and operations and will play an integral role in ensuring the team functions smoothly. The Specialist will execute the day-to-day finance operations such as invoice processing and reimbursement requests across programs and multiple funding streams/entities, revenue and accrual reporting, wire transfers, and all related tasks. The Specialist will manage the largest volume of pay orders produced by any department at Planned Parenthood. They will maintain related electronic files and budget tracking documents to ensure all Direct Response team expense accounting is thorough, accurate, and within budget. The Specialist will be responsible for maintaining team calendars and meeting logistics. They will also support ongoing management of our telemarketing program by ensuring all deadlines are met and budget expectations are followed.
  • The Specialist will help manage any seasonal temp or summer internship staffing needs.
Delivery
  • Monitors the budget closely with oversight over team financial trackers and processes of fiscal year actuals and identifies variances.
  • Verifies proper recording of expenses and revenue and approves monthly accruals and prepares joint cost allocation.
  • Manages over 1,000 invoices and pay orders annually.
  • Oversees postage escrow and Business Reply Mail USPS account balances and all associated P.O. Box permit and fee payments, ensuring timely and accurate payment of all debits.
  • Serves as subject matter expert to the Direct Response department on all finance protocols, policies, and best practices. Provides efficiency recommendations to streamline Direct Response finance operations.
  • Maintains electronic filing systems for all production processes. Manages best practices in file-sharing with consultants.
  • Serves as point person for all aspects of the telemarketing production process. This includes managing the production timeline for telemarketing campaigns, reviewing print and email fulfillment for legal, content, and format accuracy, coordinating SMS messaging with vendors and DFSE team, and arranging monitorings with telemarketing firms.
  • Manages structure and communications related to the Direct Response intranet page viewed by national and affiliate staff such the contact calendar, samples, updates, and best practices.
  • Oversees communication with Professional Fundraisers to ensure completion and execution of Solicitation Notices and Campaign Financial Reports.
  • Analyzes Direct Response expenses for annual joint allocation of costs audit with the Finance department.
  • Reconciles budget reports for finance including postage balances and corporate cards.
  • Routes documents for signature as appropriate including pay orders, solicitation notices, campaign financial reports, and contracts. Maintains accurate records of executed documents.
  • Point person for Direct Response team calendar, scheduling and logistics support for Direct Response production workflow meetings.
  • Other special projects as assigned by the Senior Manager, Direct Response.
Engagement
  • The Specialist will regularly interface with key stakeholders including consultants and PPFA staff; primarily within the Development division and Finance. The Specialist will maintain relationships with external vendors and serve as point of contact for all inquiries and requests regarding invoice status and payment. They will provide training for others on the department’s financial operations and procedures as needed.
Knowledge, Skills and Abilities (KSAs)
  • REQUIREMENTS / TECHNICAL EXPERTISE
  • Bachelor's degree or equivalent related work experience required.
  • 2-3 years of directly-related, progressively responsible experience in finance, direct response marketing, project management, development, and/or revenue operations.
  • Highly proficient with Excel and Google Suite.
  • Knowledge of basic accounting standards and procedures.
  • Database and accounting software strongly preferred, especially familiarity with Salesforce and Sage.

Starting Salary: 60k     Final offers for this job will be based on capabilities and will be made within the parameters of the PPFA compensation program.
