Planned Parenthood Federation of America (PPFA) is the national umbrella organization for the nation’s leading network of women’s health care providers, educators, and advocates, serving women, men, teens and families. Planned Parenthood Action Fund (PPAF) is the advocacy and political arm of PPFA. For over 100 years, Planned Parenthood has done more than any other organization in the United States to improve women’s health and safety, prevent unintended pregnancies, and advance the right and ability of individuals and families to make informed and responsible health care decisions.     Planned Parenthood Federation of America (PPFA) and Planned Parenthood Action Fund seeks Senior Production Specialist within the Direct Response department/President’s Circle program. This job reports to the Associate Director, Marketing and Analytics in the Direct Response department of PPFA, working specifically with the President’s Circle program. The President’s Circle sits within the Direct Response department of the development division and specifically solicits and stewards donors who have the capacity to donate between $1,000 and $24,999 to PPFA and PPAF. Purpose
  • The Senior Specialist, President’s Circle is responsible for production and management of the PPFA and PPAF (Action Fund) Direct Response program for donors giving $1,000 to $24,999 annually. The Senior Specialist will serve as project manager for all President’s Circle campaigns. They will be responsible for timely execution and quality control while meeting budget and leadership expectations. This role will provide substantive input to program development, overseeing final copy, creative, and design on all production pieces. This role will execute the day-to-day program operations - such as copy vetting, data file quality control, insertion proofs, art approvals, inventory management, and other production tasks. In addition, the incumbent will work closely and manage relationships within the Direct Response department, as well as with outside consultants. The position reports directly to the Associate Director Marketing & Analytics, President’s Circle.
  • The ideal candidate for this role will have experience with both Direct Response marketing and with donor database systems. In addition they will be an excellent communicator, with strong interpersonal skills, and a history of excelling in fast-paced environments.
Delivery
  • Point person for all aspects of preparation of President’s Circle fundraising materials. This includes review of artwork and production elements for mail packages, telemarketing and some digital marketing efforts. Manages editorial vetting process to ensure timely flow and execution of all program elements.
  • Represents President’s Circle in production workflow meetings as well as meetings with other PPFA departments and outside consultants. Direct liaison to consultant account executive as well as point person for vendor relationships.
  • Manages quality control processes for all out-of-house mail production. Approves use of data on samples of each mailing. Maintains knowledge and understanding of direct marketing strategy to ensure adherence to program plans.
  • Maintains knowledge and understanding of PPFA style guides to ensure adherence to Planned Parenthood and President’s Circle branding in all fundraising communications.
  • Maintains a high level of expertise in team use of Salesforce donor database.
  • Conducts ongoing program assessments to drive project management software, delegate bottom-line responsibility, closely track deadlines, and on-board consultants and internal team members that deliver on program needs and meets expectations.
  • Approves purchase authorizations, list rentals, and postage requests necessary for program execution.
  • Effectively organizes hard and electronic filing systems for all production fundraising materials and processes. Manage best practices in file-sharing with consultants, including sharing talking points, branding updates, and Planned Parenthood media resources.
  • Provides oversight for the day-to-day program operations including acknowledgement runs, process, and procedure, administrative work, and other production tasks.
  • Proactively manages the inventory, production aspects, development of lists and mailings, database system updates, and the coordination with other division mailings and emails.
  • In collaboration with Digital Fundraising team, directs President’s Circle data management protocols for use of Every Action. Formats and sends emails for large audiences, updates and QCs lists, and partners with other teams to ensure best practices.
  • Manages the content for the President’s Circle Intranet page and markets to affiliates.
  • Works with Direct Response, Development Systems, and outside vendors, representing the President’s Circle in Direct Response workflow meetings.
  • Perform special projects and other duties as assigned.
  • Uses skills to query, export and for reporting on program efforts. Uses excellent database judgment and problem-solving skills.
  • Maintains a high level of donor confidentiality.
  • Provide general assistance to the Associate Director, Marketing & Analytics in managing various aspects of program.
  • Models PPFA’s best practices in building collegial and productive working relationships with interdivisional and affiliate partners.
  • Supervises Intern, Marketing and Analytics and team support staff as-needed.

  • Incumbent regularly interacts with leaders in other departments/divisions/affiliates, as well as outside consulting partners. Develops professional relationships that demonstrate and enhance PPFA’s commitment to collaborative partnership with affiliates. Promotes and reinforces PPFA’s commitment to diversity, equity, and inclusion in all interactions.
Knowledge, Skills and Abilities (KSAs)
  • Education: Bachelor's degree or related equivalent experience required.
  • Experience: 3-5 or more years of directly-related, progressively responsible experience in donor communication, development, direct response, donor database, program management, and budget. Non-profit advocacy experience required.
  • Related Skills or Knowledge:
  • Knowledge of Direct Response programs. Strong oral and written communication, interpersonal and customer service skills with ability to handle matters in a professional manner. Demonstrated organizational skills. Computer skills must be excellent including Word, Excel, and database applications. Required to demonstrate ability to work in a fast paced collaborative environment. Required to demonstrate ability to manage a diverse workforce, with sensitivity to diversity.
Starting Salary: 70k   Final offers for this job will be based on capabilities and will be made within the parameters of the PPFA compensation program. Total offer package to include generous vacation + sick leave + paid holidays, individual/family provided medical, dental and vision benefits effective day 1, life insurance, short/long term disability, paid family leave and 401k.
