Planned Parenthood Federation of America
(PPFA) is the national umbrella organization for
the nation’s leading network of women’s health care
providers, educators, and advocates, serving women, men, teens and
families. Planned Parenthood Action Fund
(PPAF) is the advocacy and political arm of
PPFA. For over 100 years, Planned Parenthood has
done more than any other organization in the United States to
improve women’s health and safety, prevent unintended pregnancies,
and advance the right and ability of individuals and families to
make informed and responsible health care decisions.
Planned Parenthood seeks a Coordinator- Gift Planning,
reporting to the Vice President for Gift Planning in the
Development Division of PPFA. This individual will be part of an
accomplished, national team charged with increasing and retaining
planned gift commitments for PPFA, PPAF, and the organization’s
Collaborative Fundraising Program. The Gift Planning team expands
philanthropic revenue for Planned Parenthood by working with donors
and their advisors on estate planning, life income gifts—including
charitable gift annuities, charitable trusts, and a pooled income
fund— and special ways of giving—including beneficiary
designations, IRA giving, and endowments. Purpose

- The purpose of the Coordinator-Gift Planning role is to ensure the compilation of timely and accurate information on the overall revenue and expenses of the department, as well as the overall progress of the entire team toward key performance indicators, financial/program goals, and other administrative requirements.
- Manages and/or assists with a variety of administrative functions in the Office of Gift Planning to be assigned over the course of the year, including:.
- Responds to a variety of email and telephone requests from affiliates, vendors, and other internal and external contacts on behalf of the Vice President. Compiles data or materials from a variety of sources to write responses and fulfill requests.
- Learns the PPFA contract system and manages the contract process for the Gift Planning department. Working with members of the Marketing and Gifts & Systems teams, ensures the renewal of master service agreements on schedule and makes sure that statements of work are in place for all projects. Works with team members on the timely receipt of bills and processing of pay orders.
- Tracks departmental expenditures to support the annual budgeting and reforecasting processes. Reconciles departmental expenses as requested by the Finance and CDO Budget offices. Prevents incorrect coding and submits reclassifications quickly when errors are discovered. Submits accruals according to Finance protocols.
- Assists team members with reimbursement requests and expense reports. In the Visa/Works system, reviews monthly credit card expense coding and expense reports for the team so expenditures are ready to be approved in advance of the published deadlines.
- Prepares and distributes monthly departmental dashboard for the Vice President and department, using a variety of existing reports to compile the combined results of the team.
- Tracks a variety of individual employee requirements and team benchmarks for the Vice President.
- Assists with the scanning of departmental files. Manages the digitizing of the remaining administrative files as appropriate when on-site work resumes.
- Attends organization-wide meetings as assigned, summarizing content for the Vice President and department. Sets up and manages technology for meetings, webinars, and calls. Assists with program and materials for meetings, retreats and events.
- Builds expertise in the donor database through training; updates information in the database as assigned.

- Incumbent regularly interacts with the Vice President, three Directors, and members of the Gift Planning team. Interacts with external vendors. May handle requests from donors, affiliate staff, and professional associations. Coordinates work primarily with Finance, Contract Administration, Human Resources, and the CDO team--but other departments as situations arise.
- Experience in nonprofit fundraising either through internships, undergraduate work assignments, or full-time experience.
- Strong computer skills including word processing with MS Word and/or Google Docs and spreadsheets with MS Excel and/or Google Sheets. Edits and updates PDFs and scanned documents using Adobe products.
- Ability to work from home independently for the duration of the pandemic, including having reliable WiFi and workspace available for a computer, printer, scanner, and documents.
- Capacity for building expertise in donor databases through training.
- Ability to follow agreed-upon style guides for proof-reading materials and lists.
- Maturity and flexibility to grow into the position as it unfolds fully in the course of a year.
- Demonstrated interest in development and fundraising and an intellectual interest in the gift and estate planning specialty.
- Knowledge of diverse groups, working with a multicultural workforce, and sensitivity and appreciation to cultural differences.
