Summary: The Executive Assistant provides comprehensive and confidential administrative support to the President & CEO.
Duties and Responsibilities
- Schedules all appointments and meetings with staff, board members and external constituents
- Manages the flow of information between the President and internal/external individuals and groups, and the screening and prioritizing of requests
- Provides email/telephone support
- Makes President’s travel arrangements, including scheduling, preparing itinerary, trip file, preparing materials
- Maintains and manages President’s expense report and reimbursement requests
- Prepares correspondence on behalf of President
- Coordinates to ensure efficient administrative, logistical and operational support for board meetings, conferences and retreats
- Establishes and maintains President’s project files
- Purchases general office supplies, materials and equipment as needed, including oversight of general maintenance requests and oversight of annual inventory
- Other projects as assigned
Qualifications
- Bachelor’s degree with a minimum of three years executive level support experience
- Excellent organizational skills, attention to detail, ability to prioritize, track projects and multi-task to meet deadlines of the President
- Highest level of interpersonal skills including excellent listening, oral and written communications skills, tact, patience, flexibility and courtesy
- Ability to use discretion, sound judgment and maintain strictest confidentiality when handling sensitive materials and information
- Excellent written/oral communication skills
- Strong organizational and interpersonal skills
- Detail oriented and flexible
- Ability to prioritize, multi-task and meet deadlines
- Strong computer skills
