GENERAL SUMMARY: 

 

The Senior Associate of Annual, Planned, and Institutional Giving is a unique position that works closely with the Vice President of Annual, Planned, and Institutional Giving who manages the Annual Giving, Planned Giving, Foundation Relations, and Corporate Partnerships teams to raise philanthropic funds in support of Dana-Farber Cancer Institute’s research and patient care mission.

Dana-Farber is currently in the quiet phase of its campaign ‒ the largest and most ambitious fundraising effort in the Institute’s history; one that will serve as a catalyst, enabling the Institute to change the landscape of cancer medicine and, ultimately, eradicate the disease.

 

Seeking a Senior Associate with strong project management and writing skills and an acute attention to detail. Responsible for providing administrative support to the Vice President and assisting all teams with priority projects.

Requirements

 

PRIMARY DUTIES AND RESPONSIBILITIES:

 

Administrative Responsibilities:

 

  • Provide support to the Vice President; manage Vice President’s calendar, files, mail, and office supplies, prepare correspondence, compile/create meeting agendas, and materials;
  • Respond to written inquiries, calls, and visits from donors and contacts by determining the nature and urgency of the inquiry, suggesting and implementing appropriate response(s), and informing Vice President when situation merits his/her attention;
  • Develop working knowledge of the fundraising system and/or other management information and tracking systems; provide training to all corporation and foundation staff;
  • Reconcile and review P-card charges for the Vice President and Assistant Vice Presidents of Annual Giving, Planned Giving, Foundation Relations, and Corporate Partnerships;
  • Proof all planning/reporting documents, and design and produce written material such as correspondence, charts, proposals, and PowerPoint presentations;
  • Provide back-up to the Executive Assistant to the Senior Vice President on trustee patient referrals and other important friends of the Institute referrals;
  • Interact with key donors, prospects, and sponsors on confidential matters;
  • Interact with Institute volunteers, faculty, and staff and act as overall liaison with other teams within the Division of Philanthropy. 

 

Project Management Responsibilities:

 

  • Coordinate Division-wide Corporate Moves Management meetings, including scheduling monthly meetings, preparing agendas, working with Prospect Research, compiling meeting materials, and taking minutes;
  • Facilitate weekly corporate prospect assignment process for Annual Giving, Corporate Partnerships and Jimmy Fund teams;
  • Provide administrative oversight for Institute-wide Limited Application Process for non-federal grants: schedule review meetings, create agendas and meeting materials, and prepare for Limited Application Committee faculty meetings; Take minutes and communicate outcomes of application review process to investigators;
  • Assist with annual Operating Plans, strategic planning, analysis and reporting; Compile regular reports on quarterly/annual team activity for Vice President;
  • Serve as liaison between Philanthropy Communications and teams to track eligible stories for donor newsletter, prompt outreach, track donor responses, and facilitate stewardship outreach once published;
  • Serve as contact for teams for annual donor Honor Roll process, coordinating review of lists and approvals.

Donor/Fundraising Responsibilities:

 

  • Provide prospect management support to Vice President by drafting and proofing acknowledgements, stewardship letters, call reports, and briefings; processing gifts; conducting preliminary research on donors/prospects; and tracking gift discussions and portfolio activity in ClearView. Assist in design and production of written material such as proposals and donor PowerPoint presentations;
  • Conduct outreach via phone/email/Zoom to thank Annual Giving corporate donors of $250-$499;
  • Secure opportunity prizes and conduct outreach to companies asking for gifts of Patient Financial Assistance during the holidays;
  • Assist with mailings, event support, general stewardship for Planned Giving legacy donors. 

 

Leadership Responsibilities:

 

  • Provide leadership, training, and resources for Annual Giving, Planned Giving, Foundation Relations, and Corporate Partnerships staff and new staff members; manage and coordinate administrative staff meetings within these teams to address questions and implement business rules/policies and to ensure accuracy and consistency across teams;
  • Manage quarterly all-staff meetings and events for the Annual Giving, Planned Giving, Foundation Relations, and Corporate Partnerships teams. 

 

Other Responsibilities

 

  • As the Senior Associate to the Vice President supporting Annual Giving, Planned Giving, Foundation Relations, and Corporate Partnerships, there will be opportunities to partner with each of those teams on additional, specific projects as time allows and in alignment with interest and skill set.
  • Responsible for assisting the entire Division in reaching financial goals.

 

SUPERVISORY RESPONSIBILITIES:

 

Reports to the Vice President of Annual, Planned & Institutional Giving. This position does not have any supervisory responsibility and will seek major decision-making authority from direct supervisor. However, independent decision-making on day-to-day tasks and good judgment are essential for dealing with Institute donors, trustees, and senior staff and confidential information. This individual will be a resource for other administrative staff.

 

Qualifications

 

MINIMUM JOB QUALIFICATIONS:

 

Associate degree and/or administrative training degree required; bachelor’s degree preferred. 2-3 years administrative experience. 

 

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

 

Excellent written and verbal communications skills, strong orientation to customer service and donor relations, superior organizational and project management skills, and a directed and self-starting attitude are all required. Expertise with numbers and Excel spreadsheets, as well as strong proofreading skills are necessary. Solid computer skills and competency in Microsoft Office Suite products and excellent administrative skills are necessary. Experience with ClearView fundraising software is a plus. A high degree of confidentiality must always be exercised.

This position will evaluate current programs and create and execute approved plans to expand and diversify the donors and participants for the events assigned in order to broaden our donor base and create even more inclusive events. Experience with diverse donors is a plus.

Workstation located in typical office setting. Some over-time or weekend work may be required.
