Job Summary

Reporting to the Director of Development, the Manager of Database Administration will coordinate department functions including database and list management, prospect moves management, reporting, and donor research. In addition, s/he will work closely with the IT department to ensure all systems function optimally and liaise with the Finance department to manage development income transferal and ensure all income is being recorded and reconciled across systems.

 

Key Responsibilities

  • Manage revenue processing and ensure accuracy and efficiency
  • Ensure Annual Fund donors receive an acknowledgment letter in a timely fashion
  • Accurately update donor records to reflect actions, appeals, and event attendance
  • Pull lists to be used for invitation mailings, soliciting gifts, direct mail, email marketing, and internal review
  • Utilize reporting tools for data analysis and visualization to maximize fundraising efforts
  • Maintain and improve data integrity by running regular system checks
  • Create and maximize systems for effective team-wide development operations
  • Develop cross-departmental procedures with Finance department to aid in overall workflow and reconciliation efforts
  • Ensure the database is clean, up-to-date, and consistent, with continuity among all platforms and users
  • Manage relationships, including contract management, with fundraising technology vendors
  • Train colleagues on how to use Raiser’s Edge NXT and act as point of contact for troubleshooting and support
  • Facilitate trainings and written instructions for new and current staff members to ensure team members comply with process improvements
  • Create and manage donation and event registration forms
  • Conduct research - collecting, confirming, analyzing, interpreting, and summarizing biographical and financial data, wealth assessment, and philanthropic assessment
  • Establish and maintain best practices for research techniques, reporting templates, and process documentation
  • Use prospect research to provide analysis, bench-marking, and forecasting of BCNY's ability to meet fundraising goals
  • Prepare biographies of prospective and current corporate and individual donors in preparation for meetings and events
  • In partnership with the Chief Advancement Officer and Director of Development, maintain moves management process to ensure that thoughtful and strategic plans are in place to increase revenue from individuals through major gifts
  • Proactively identify, qualify, and rate donor leads in order to expand the prospect pool
  • Provide ongoing tracking and analysis of prospect portfolios; ongoing design and execution of management reporting to facilitate tracking, prospecting, data mining, and analytics; and the maintenance of moves management policies and procedures
  • Attend fundraising events as directed to assist with registration and other support tasks
  • Other duties as assigned

 

Qualifications

  • Bachelor's degree preferred
  • Three years’ experience managing a development or CRM database
  • Knowledge of Raiser’s Edge NXT and Crystal Reports required
  • Advanced proficiency in Microsoft Office programs (Excel, Outlook, PowerPoint and Word), as well as excellent keyboarding skills
  • Understanding of the principles of fundraising and data analytics, as well as knowledge of research databases and techniques
  • Strong written and oral communication skills
  • Strong client services-oriented approach, and the ability to communicate with a wide variety of people in a thoughtful, diplomatic, and enthusiastic manner
  • Ability to handle highly sensitive information appropriately and maintain confidentiality with donor information
  • Excellent team player able to support colleagues, work at a fast pace, and meet tight deadlines
