The Planned Gifts Operations Manager leads and develops overall operations for the Planned Giving team. This work is integral to the achievement of the team’s budgeted revenue goals, which exceed $10 million annually, particularly through workflow coordination, portfolio management, applied technology, data analytics and marketing support –all key elements that underpin the work of this growing team.   

This position supervises one and possibly two operations staff, and represents the operational needs of the planned gifts team to foster collaborative solution building with other teams across Development.

This position requires a self‐starter who is able to work both collaboratively and independently and possesses strong interpersonal skills. The position requires excellent writing and analytical skills, diplomacy and discretion, and the ability to adapt and think creatively and critically. The Planned Gifts Operations Manager must be able to initiate multiple projects simultaneously, meet deadlines, and be highly detail‐oriented. 

Informed by the strategic direction of the Director of Planned Gifts, he/she will lead coordination in all areas of departmental reporting and analytics. He/she will coordinate and improve existing reporting methods as well as design new ways to report that meet emergent quantitative and qualitative data needs. As the lead staff for developing planned giving data systems, he/she uses independent judgement and creativity to maintain alignment with other teams and to represent planned giving in cross-team collaboration, particularly with Major Gifts, Development Operations, Finance, and Information Technology teams. The position requires frequent interaction with staff members across all levels of the organization. 

The position is based in San Francisco, CA or remote. 

Responsibilites:

Data Management and Analysis 40%

  • In coordination with the Planned Gifts team, develop, research, and implement procedures and systems solutions within our donor database to ensure continuously the effective use of staff time and available technical resources. Draft and maintain accurate documentation of system workflows and procedures.
  • Oversee the use of planned giving data to create a robust, data driven narrative on goals, outcomes, and individual and program performance. Create queries and manage dashboards to provide regular and ad hoc prospect lists, reports, and analysis for use in trip planning, events and mailings, and to help measure the success of the overall planned gifts program.
  • Collaborate with Development Operations on the creation and maintenance of detailed reporting in Tableau
  • Perform or oversee ongoing or one-off data hygiene projects.
  • Manage all information relating to current planned giving donors, prospects, and estates in a manner that emphasizes the highest standards of accuracy, timeliness, thoroughness, data integrity and confidentiality.
  • Manage tracking and reporting for matching gift opportunities and other select grants.

Project Management 40%

  • Coordinate data migration in and out of development database from third party systems such as Planned Gifts’ marketing microsite, estate administrator, and outreach campaigns, in collaboration with IT, Development Operations, and Planned Gifts staff.
  • Coordinate all aspects of portfolio review process. Engage team members and Director in aggregate and individual prospect review.  Coordinate data hygiene to ensure accurate BBEC records and best reporting of outcomes. Train gift officers on best methods for recording activities in alignment with department database and moves management guidelines.
  • Develop, research, and implement procedures, workflows and systems solutions to ensure the effective use of staff time and technical resources. Responsible for maintaining accurate documentation of all program workflows and procedures.
  • Serve as primary liaison with Development Operations, Major Gifts, and other teams to ensure the coordination and alignment of cross-teams workflows and the adoption of new and improved data management processes.
  • Monitor planned giving budget, including YTD expense tracking by category. Ensure timely submission of expense, revenue, and reforecasts as requested by Finance.
  • In support of the Director of Planned Gifts, evaluate any potential new services and vendors. Manage vendor contracts via centralized system.
  • Maintain team operations manual, ensure that all systems and processes are well documented.

Staff Management (10%)

  • Direct and oversee the work of an Administrative Associate.
  • Ensure that donor activity is recorded in the CRM in an accurate and timely way.
  • Ensure adequate administrative support for team needs.
  • Develop staff by identifying and encouraging training and professional development opportunities and by creating development plans.

Research, Training and Engagement 10%

  • Develop a strong working knowledge of Earthjustice’s initiatives in order to educate and inform donors and prospects about our mission and work/impact.
  • Grow understanding of the suite of possible planned gifts and how DevOps, Finance, the Campaign Team, and other individuals in the organization engage with them.
  • Remain current in philanthropy developments and fundraising techniques by attending meetings, conferences, and participating in training programs.
  • Participate in Diversity, Equity & Inclusion and program trainings and informational sessions to develop a deeper understanding of Earthjustice’s values and program work.
  • Serve as a member of non-fundraising organizational or departmental working group or planning committees, as appropriate.
  • Complete IT security trainings and stay updated and aligned with organization best practices.

Qualifications:

  • Bachelor’s degree and 5 years’ experience in development (fundraising), non-profit or executive setting preferred. 
  • Proficiency with CRMs, donor databases, and an ability to further learn database management skills to provide data analytics, create queries, produce reports, and use advanced functions. Working knowledge of Raiser’s Edge or Blackbaud CRM is highly preferred.
  • Capability to manage complex issues creatively, strategically, and effectively.
  • Strong initiative, self-motivation and flexibility; ability to make sound judgments and independent decisions and work collaboratively as a member of a successful team. Exemplary organizational skills and an ability to develop and effectively utilize systems to manage large quantities of data and details.
  • Demonstrated ability to handle multiple tasks, meet deadlines, prioritize assignments, and work with grace under pressure.
  • Ability to use effective interpersonal skills, discretion, and diplomacy to work and communicate with a diverse group of people, including donors, volunteers, the public, and staff.
  • Superior communication skills, including demonstrated experience in writing effective correspondence.
  • Basic knowledge of current trends in charitable giving and a willingness and ability to learn the basics of charitable gift planning.
  • Meticulous attention to detail including excellent attention to data hygiene, strong proofreading and copy-editing skills.
  • Advanced knowledge of Microsoft Word, Excel, Outlook, PowerPoint, and Internet searches.
  • Professional, positive, and approachable attitude.
  • Background and/or interest in environmental issues preferred.
  • An awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations.
  • Ability to contribute to the creation of a diverse, equitable and inclusive work culture that encourages and celebrates differences.

Salary is dependent on experience and location.
Salary for San Francisco, CA: $98,400 - $109,300
Salary range will vary for remote locations.
