The Associate Director, Annual Fund Programs and Development Support Services will serve as part of the Catholic Charities Development Leadership Team and participate in weekly Development Strategy Meetings with the Charities President and CEO, the Chief Financial Officer, the Director of Communications, Director, Catholic Charities Development Programs and the Executive Director, Office of Development. The Associate Director will execute and manage:

 

  • a comprehensive Annual Fund program which is primarily driven through direct mail appeals, acquisition mailings, online giving and work-place contributions program

 

  • the effective use of the constituency database (IMIS) for all gift processing and reports for all Catholic Charities' development programs

 

  • business protocols and data management policies related to donor/prospect for individuals, businesses and foundations

 

  • the Database List Maintenance Coordinator, who is a full-time support staff member

 

DEVELOPMENT OPERATIONS OVERVIEW

 

As Associate Director, Annual Fund Programs and Development Support Services and supervisor of the Donor Relations Specialist, the Associate Director employs best practices in all CCDA gift processing, database management and donor relations as related to the full spectrum of donor and prospect management. This includes ensuring accuracy of all database records, timely acknowledgement of gifts and responding to donor questions about their gifts.

 

In support of other development areas such as Major Gifts, the CCDA Ball, Foundation Grants and other fundraising income, the Associate Director is responsible for monitoring all development revenue gifts and preparing weekly and monthly financial progress reports in concert with CCDA financial department staff. This includes communicating all development income progress toward budget to CCDA Executive leaders and Development Team through printed or emailed reports.

 

Additional Database Management Support - Charities Volunteer Database

CCDA's core of volunteers is a critical funding constituency. The manager also provides a pro-active customer support function to the Office of Volunteers especially as it relates to assisting in the inclusion of volunteers into the imis database, supporting volunteer recognition activities through list generation and solicitation of funds from the ~4,000 volunteers.

 

The Development Operations portion of the position accounts for ~40% of the Associate Director's time.

 

ANNUAL FUND PROGRAMS OVERVIEW

Focuses on strengthening and advancing Charities' Annual Fund programs. With annual giving as the enabling component of successful major and gift planning programs, the Associate Director is responsible for the data management and growth of the institution's portfolio of prospects and donors. Data on donors may be generated through direct mail (4 appeal letters and 4 newsletters), Christmas Collection, workplace giving, e-mail initiatives, phone calls, unsolicited white mail and program specific fundraising initiatives/drives with all part of a focused and growth-oriented plan for annual support.

 

 

The Associate Director provides a pro-active "customer support" function to Catholic Charities' senior management and all program managers/director. in assisting them in program-based fundraising and donor relations efforts to ensure direct mail and other efforts are in alignment with the many elements of CCDA 's approved annual Development Plan.

Annual Fund Communications Related Responsibilities

 

Under the direction of the Executive Director, Office of Development, Catholic Charities President and CEO, the Associate Director collaborates with the Catholic Charities Director of Communications in the production of key institutional print collateral such as Newsletters (4), an Annual Report, brochures and or other development communications and parish education materials about CCDA.

 

Summary

In summary, the Associate Director provides planning and strategic direction for all of the areas noted above in the context of growing all Annual Fund programs while supporting the overall development budget strategic funding goals of Catholic Charities.

 

RESPONSIBILITIES AND AUTHORITY:

 

Physical Demands/Working Environment

 

While performing the duties of this job, required to have ordinary ambulatory skills sufficient to visit other locations; ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weight of 10 - 50 pounds

Requires good hand-eye coordination, arm, hand, and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read

Frequently required to sit, hear, talk and use repetitive motion of the hands/wrists

Work performed in and out of the office setting

Required to travel to parishes throughout the diocese as needed

Occasional evening and/or weekend work is required

QUALIFICATIONS:

Bachelor's degree and 5 to 8 years non-profit fundraising/development experience with emphasis in Annual Fund development work via direct donor solicitation, direct mail, email, online giving appeals, and social media fundraising vehicles.

5 to 8 years' experience in managing constituency database, gift processing and donor relations functions

Strong managerial, leadership and supervisory skills necessary.

Demonstrated analytical and fundraising skills with the ability to research and identify new fundraising opportunities, identify critical, high pay-off activities, and incorporate them with current annual calendar to prioritize them and raise new funds to help attain goals.

Demonstrated organization and communication skills as well as ability to work with and motivate other development professionals and volunteers.

Excellent skills and understanding of computer and constituent software required.

Ability to work independently and within a team environment. Willingness and ability to travel in diocese and to work nights and weekends, as required.

 

Ability to listen carefully to and understand the needs or concerns of donor/prospects, both internally and externally, and proactively respond to those needs in a consistent and timely manner via communications efforts in annual fund program materials.

Must possess a strong personal commitment to the mission, goals, programs and services of the Catholic Church and of Catholic Charities specifically.

Licenses/Certifications: Must maintain a current driver's license
