PURPOSE OF THE JOB:
The Development Coordinator provides critical administrative support to the entire Development team, with a special emphasis on supporting the foundation team. S/he will work with the full Development team to drive the day-to-day functions of fundraising efforts and will work with the Director of Institutional Giving to maintain a solid and growing base of support from institutional funders, including helping to meet all application, renewal, and reporting criteria for foundation-related fundraising. This is a tremendous opportunity for an ambitious professional to learn how a high- impact fundraising operation functions and to help raise the money needed to tackle the biggest human rights issues of our time.

MAJOR DUTIES AND RESPONSIBILITIES:
  • Provide critical support to the Foundation team, including:
    • Supporting the application, renewal, and reporting processes established by donors/prospective donors.
    • Working with the Director of Institutional Giving to draft proposals and reports.
    • Working closely with program staff to remain updated on organizational goals, objectives, and activities.
    • Conducting prospect research based on programmatic initiatives to build the organization’s foundation pipeline
    • Supporting timely communication and follow-up with foundation contacts
    • Maintaining the Foundation team’s calendar and database records
    • Other writing assignments, as requested, based on department and/organizational need.
  • Provide general administrative support to the Development team, including:
    • Processing all acknowledgement letters, including honorary and memorial gifts, matching gift forms, federated campaign documentation, etc.
    • Executing accurate data entry and updating of constituent information, change of address, etc. in department database.
    • Producing daily gift reports and weekly reports on fundraising and cash flow year to date
    • Managing the pledge-collection process for the Development team
    • Working closely with Finance team to create and maintain processes and reports for reconciliation of income, pledges, and campaign donations.
    • Maintaining Development department files and materials
  • Provide administrative support in planning and executing the annual fundraising events (in June and October) and other special events.
  • Create agendas, take notes, and track action items and deadlines from weekly meetings.
  • Other duties, as requested, based on department and/or organizational need.

REQUIRED KNOWLEDGE, SKILLS AND EXPERIENCE:
  • Bachelor’s degree or equivalent experience and at least 1-2 years’ relevant experience; foundation experience preferred.
  • Exceptional writing ability
  • Highly organized, superior attention to detail and follow-through
  • Ability to handle confidential information with discretion.
  • Strong “managing up” skills.
  • Ability to inspire and motivate others to achieve common goals.
  • Proficiency in MS Office applications, especially Excel and Word, as well as Web-based research
  • Experience with database management; Raiser’s Edge or Virtuous preferred
  • Excellent interpersonal and communication skills, both written and verbal
  • Capacity to take initiative, be proactive, prioritize duties, and work independently while functioning as a member of a team.
