Donor Relations Coordinator

Reporting to the Executive Director (ED), the Development Associate, will work collaboratively with board members, volunteers, WLA contractors and other WLA staff to organize and support all aspects of WLA’s fundraising program. 

 

ESSENTIAL DUTIES AND RESPONSIBILITIES

 

  • Develop prospect profiles, cultivation and stewardship strategies for major donors and prospects
  • Maintain the major gift prospect pipeline and notify the Executive Director when major gifts are received.
  • Prepare all gift acknowledgement letters for portfolio managed donors along with reports and presentations used in donor cultivation and stewardship. Send letters and acknowledgements of donations and granting agencies.
  • Responsible for the data input, both individual profiles and financial donations, in the Customer Relationship Management software (WLA uses Salsa CRM & Engage software). Responsible for organizing and optimizing these files.
  • Primary planner of the spring and fall annual appeals and implementation of special mailings, including mail merging, printing, packaging, postage, etc.
  • Support Executive Director, board, consultants and volunteers in generating donor correspondence including solicitation letters, proposals and thank you letters/notes.
  • Coordinate the WLA fundraising committee, including setting meeting times, preparing agendas, taking notes and preparing minutes.
  • Work with the communications team to generate development-related messaging and content, including for the website, print and digital communications, annual appeals, fundraising materials and the annual report.
  • Design and implement cultivation events and activities, including donor forums, tours, conferences, and fundraising events; prepare event itineraries and timelines, coordinate logistics such as travel, accommodations, and catering.
  • Provide support in grant research, writing, management, reporting and foundation relations as assigned.
  • Provide administrative support for the development program, including setting up phone calls & meetings, maintaining appropriate records, communicating with donors and managing a calendar of events. There will be other duties as assigned.

 

QUALIFICATIONS

 

  • Bachelor’s Degree
  • Demonstrated experience with a Customer Relationship Management software system.
  • Three to five years successful experience in non-profit development, including special events, prospect research, donor engagement and grant writing.
  • Strong commitment to the mission and goals of WLA
  • Knowledge of Microsoft Office Suite and Excel, Google Docs and Dropbox
  • Nonprofit development experience preferred.
  • Organized and efficient, capable of managing multiple projects with competing priorities to the highest standards in a timely manner.
  • Proactive self-starter requiring minimal supervision but also works well on a team.
  • Strong verbal & written communications skills (a writing example may be requested).
  • Accurate and impeccable attention to detail.
  • Must have excellent interpersonal skills and a demonstrated record of completing assignments.
  • Experience working with high-level volunteers and donors is preferred.
  • Customer service (especially phone) experience is highly desirable.
  • Some travel required, including overnight stays on occasion, for fundraising events and donor cultivation visits.
  • A background check will be required.

Starting Date:  September 1, 2021

 

Preferred location: Santa Fe, New Mexico or Denver, Colorado. Other locations within the US West may be considered.
