Program Coordinator:

John Lewis Scholars & Fellows Program and Institute Programs

 

The Faith & Politics Institute (FPI) seeks a Program Assistant to provide support to all the programs of The Faith & Politics Institute. The Program Assistant will be responsible for administrative, general accounting, and external affairs functions. The Program Assistant reports to both the Director of Programs and the Director of Educational Programs.

OVERVIEW

 

This exempt level position requires a hard-working, mission-driven, highly collaborative work style with a positive team-first attitude. Demonstrating an ability to handle competing priorities in a growing organization, to effectively leverage resources, meet multiple deadlines and balance numerous projects for the good of the organization is a priority. Equal parts integrity, compassion, patience, and comity are necessary to address the sometimes unpredictable and at times deeply divided environment on Capitol Hill in a professional, poised, positive and productive manner.

 

This is a general overview of some of the details of the duties you’re expected to perform during your employment. This document is not all inclusive and your responsibilities will change as the needs of the business change.

 

PRIMARY RESPONSIBILITIES:

  • Support senior staff in executing FPI programs that positively impact individuals from diverse viewpoints, assisting senior staff and event consultants;
  • Responsible for administration and bookkeeping for all program functions;
  • Maintain and update the evaluation systems and metrics to continue to improve the organization’s capacity to learn from its work and share that learning with stakeholders;
  • Assist in the development of annual reports for the Institute for all programming sectors.

 

 

 

 

 

 

 

  1. GENERAL FPI PROGRAMMING SUPPORT
  • Assist Director of Programs in execution the substantial elements of programs, coordinate with the Operations team on relevant logistics so that they are manageable with available staff and resources;
  • Make arrangements for staff advance trip planning and execution;
  • Work with Operations team program logistics for Pilgrimages and events including all run of show documents;

 

  • EDUCATIONAL PROGRAM SUPPORT:
    • Support recruitment efforts with colleges and universities;
    • Support communication efforts that increase awareness of Scholars & Fellows program;
    • Communicate with applicants and reviewers during application process;
    • Schedule interviews;
    • Maintain and update the Scholars & Fellows evaluation systems and metrics to continue to improve the organization’s capacity to learn from its work and share that learning with stakeholders;
    • Support the planning and implementation of all Scholars & Fellows trips, in-person and virtual events;
    • Assist with the communications with Scholars & Fellows about program details and travel logistics;
    • Coordinate travel logistics for Scholars & Fellows zx
    • Work with FPI Operations to order supplies and materials for Scholars & Fellows program; and
    • Support the facilitation of reimbursements and payments for Scholars & Fellows programmatic activities

     

    PROFESSIONAL QUALIFICATIONS AND EXPECTATIONS:

    • Bachelor’s degree in a related field or a minimum of 2 years of specialized professional experience;
    • Knowledge of all Microsoft programs;
    • Warm and welcoming demeanor both in person and on the telephone;
    • Exceptional at resolving any problems efficiently and in a timely manner;
    • Excellent verbal and written communication skills;
    • High level of integrity and ability to exercise discretion and maintain confidentiality; 
    • Ability to manage numerous projects at one time, be detail-oriented, and follow-through with a high level of accuracy;
    • High level of commitment to the mission and work of the organization;
    • Positive; proactive; and team-focused attitude;  
    • Assists with programs, events, and activities as directed;
    • Establishes and maintains positive relationships with supervisors, colleagues, and stakeholders;
    • Accepts and acts on performance-based criticism, feedback, and direction;
    • Adheres to the office attendance policy;
    • Works well under pressure and handles stress with grace;
