OVERALL POSITION DESCRIPTION:

The Program Associate is responsible for supporting functions for the Marketing and Communications Department under the direction of the Chief Marketing Officer (CMO). With strong attention to detail and excellent organizational skills, the Program Associate will be responsible for a combination of programmatic and administrative work. From assisting in scheduling and posting social media content to writing press releases to supporting event coordination and management, this person will help further the brand awareness, donor acquisition and revenue generation efforts of the team. They will also coordinate meeting requests and schedules, handle and organize vendor contracts, prepare/design PPT presentations and or social media content and as requested, provide administrative support related to the communications committee of the board of directors. In addition, the employee will attend specific meetings, provide follow-up reports as required, and be proactive in anticipating the needs of the CMO and the Marketing and Communications team.

 

GENERAL RESPONSIBILITIES

  • Play a supporting role in various Marketing and Communications team activities, including but not limited to event coordination, press release and other writing, social media posting, simple content and graphic/video production, etc.
  • Manage schedules and coordinate internal and external meetings for the CMO
  • Efficiently and quickly respond to meeting and information requests
  • Manage and update key contacts in the organization's database and CMO's files
  • Prepare materials for meetings and events as required
  • Assist with World Food Program USA hosted or sponsored events
  • Prepare correspondence on behalf of the CMO, Sr. Director and Directors
  • Handle any special projects requested by the CMO, Sr. Director and Directors
  • Assist CMO, Sr. Directors and Directors with internal communications efforts
  • Attend meetings as requested and manage required follow-up. Record and distribute meeting notes and coordinate related follow-up activities
  • File and retrieve documents, multi-media assets and reports. Organize and maintain the department’s SharePoint folders
  • Establish an excellent working relationship with the Members of the Board of Directors’ communications committee (or their representative) in verbal, written, and electronic correspondence
  • Arrange travel as required
  • Process expense reports
  • Prepare and or design PPT presentations
  • Other duties as directed

 

QUALIFICATIONS

  • Bachelor’s degree and 2-5 years of experience, preferably in a non-profit organization
  • Strong computer skills and proficiency in using Microsoft Office applications, particularly PowerPoint
  • Knowledge of Windows Platform software; Salesforce experience a plus
  • Must be detail-oriented and highly organized
  • Excellent writing, research and communication skills
  • Ability to organize time, work independently, as well as follow direction, collaborate, coordinate and prioritize multiple tasks, and meet deadlines on time, and effectively
  • Demonstrated ability to be highly flexible and provide exemplary customer service to diverse audiences
  • Ability to handle confidential matters with a high level of integrity
  • Strong interpersonal skills and ability to build relationships with staff, external partners, and donors
  • Demonstrate proactive approaches to problem-solving and strong decision-making capabilities
  • Excellent interpersonal and communications skills
  • Interest and knowledge of humanitarian assistance, international development, or global hunger is preferable
