The SF Marin Food Bank is comprised of a dedicated team of approximately 150 staff working collaboratively to provide close to 50 million pounds of food to over 210,000 people in the Bay Area – a region where 1 in 4 people are at risk of hunger. POSITION PURPOSE

The Major Gifts Coordinator supports the Major Gifts team by coordinating and executing a variety of activities that advance our fundraising goals. These include managing data that demonstrates progress towards major gifts fundraising goals, generating reports, processing donor acknowledgements, coordinating Major Gifts and Midlevel events, providing excellent customer service both internally and externally, and coordinating projects related to cultivation, solicitation, and stewardship with other teams. 

ESSENTIAL FUNCTIONS AND BASIC DUTIES

• Coordinates and executes cultivation and solicitation direct mail for the Major Gifts and Individual Giving program, including semi-annual solicitation letters, mid-year Hunger Report, October Thank You Drive, and annual Impact Report. Manage 3rd party vendors on time and within budget

• Coordinates all Major Gifts events, partnering with the Stewardship Officer to execute on time and within budget. Act as contact for RSVPs for all Major Gifts and Midlevel events and provide excellent customer service. Coordinate appropriate follow up

• Coordinate Executive Director email, phone call, and visit process for Major Gifts, Corporate, and Foundations teams to ensure timely stewardship of recent gifts by the Executive Office. Work alongside the Executive Assistant to the Executive Director and Stewardship Officer to execute

• Supports the cultivation and solicitation efforts of the Principal Giving program, interfacing with members of the Board, Director of Leadership Gifts, and Senior Director of Development to provide the information, administration, and resources needed to be successful

• Partners with the Digital Fundraising Manager to execute digital communications to major and midlevel donors on behalf of Senior Leadership via Engaging Networks email marketing platform

• Process weekly Major Gift, EFT, and bequest tax receipting, ensuring that acknowledgement letters are accurate and sent within 48-72 hours of being received by the gifts processing team. Triages and executes on requests related to major giving tax receipting within 24 hours

• Coordinates the needs of the legacy giving program, including filing/uploading necessary bequest paperwork, executing digital and direct mailings, and generating monthly reports of recent gifts

• Work alongside the gifts processing team to ensure gift accuracy on a monthly basis for reconciliation and request changes from Gift Officers, as needed

• Work alongside the data team to run weekly data maintenance queries to ensure accuracy of data and complete donor records, as needed

• Run regular Major gifts reports, request data and lists from the data team to perform major gifts projects and ensure accuracy of data prior to distribution

• Schedule and manage Major Gifts team meetings, maintain agendas, and act on follow ups as needed on a weekly basis. Maintain team calendar of events, milestones, check ins, and upcoming tasks to be completed in Asana and report on ongoing status in weekly meeting.

• Manage the Major gift expense lines and submit expenses to finance on a timely basis. Manage inventory of collateral and direct mail supplies

• Use Raiser's Edge (RE) to consistently document interactions with donors in RE

• Other duties, as assigned

PERFORMANCE MEASUREMENTS

• Major Gift donors are acknowledged accurately and on a timely basis by key staff members including Executive Director and VP of Development

• Major Giving program is regularly assessed for performance against goals, opportunities, and effectiveness

• Major and Midlevel Giving events come to fruition and run smoothly. Frontline fundraisers, Senior Staff, and Board are prepared, and timely follow ups with prospects are executed

• Leadership Gifts team remains organized, executes on weekly tasks and events to meet its overall goals

• Major Gifts program can be quantified and assessed through accurate data uploaded and maintained in Raiser’s Edge

• Major Gifts Officers, Directors, and Senior Leadership team members have the data they need to conduct daily business and make key decisions to move donor relationships forward

EDUCATION/EXPERIENCE

• Undergraduate degree preferred.

• Experience in Development department or previous nonprofit desired. 

REQUIRED KNOWLEDGE

• Knowledge of Raiser’s Edge preferred. 

• Knowledge of basic Development functions preferred. 

EXPERIENCE REQUIRED

• Excellent written and verbal communication skills

• Familiar with Asana

• Detail-oriented project manager

SALARY: Pay Grade 5 $56858.06 to $66892.32
