POSITION SUMMARY

Reporting to the Chief of Staff , the E xecutive Assistant (EA) provides overall administrative and project support to the President 's Office and serves as a key liaison to the board of directors. The EA also serves as the top administrator at the Center, supervising a team of administrative coordinators and managing administrative support needs organization wide. Professionalism, the ability to cultivate relationships, and flexibility to adapt to the changing needs and priorities of a busy executive office are essential.

This position is based in Washington, DC. During the current period of Covid-19 related restrictions, this position may start as a remote position, with an eventual transition to onsite by January 4, 2022. The Center operates in a hybrid model, meaning that starting no later than January, staff will be expected to work in the office at least 2 days/week, and can work from home up to 3 days/week.

PRIMARY RESPONSIBILITIES

  • Manage the President' s calendar and daily workflow, juggling competing priorities as necessary and making appropriate and informed decisions regarding available time.
  • Plan, direct, and coordinate administrative support services across the Center.
  • Team management of administrative coordinators deployed throughout the Center (currently 3) including: h ire staff as needed, a ssign work and teams , e valuate work and performance, and s et goals for administrative team
  • Schedule internal and external meetings, coordinating all logistics and details, providing relevant preparation materials, and ensuring appropriate follow-up.
  • Prepare emails, memos, presentations, and letters, including writing first drafts of messages, editing and proofreading documents, and formatting and distributing meeting agendas.
  • Coordinate travel arrangements for the President and board members, including flights and lodging.
  • Provide support to the board and several board committees. Schedule and arrange meetings, compile and distribute materials, attend meetings, prepare meeting minutes, and maintain corporate documents.
  • Plan and oversee logistical arrangements for board and board committee meetings, including space and facility needs, meals and refreshments, supplies, and technology.
  • Compose, edit, design, and format documents.
  • Complete expense reports for reimbursement , third-party reimbursements and payment request.
Education/Training/Experience

  • Bachelor's degree required.
  • Minimum seven years administrative or secretarial experience required, including experience supporting executive management in an organization.
  • Experience managing an administrative function and/or supervising administrative support staff.
  • Demonstrated proficiency in the use of Microsoft Office 365 (Word, Excel, PowerPoint, OneNote, Teams and Outlook).
  • PeopleSoft experience preferred.

  • Strong organizational skills including strong sense of urgency to set priorities, juggle multiple tasks, organize time effectively, conduct research, and identify resources for projects in a fast-paced, dynamic environment.
  • Skilled at coordinating complex meetings and travel arrangements.
  • Ability to pay close attention to detail, focusing on accuracy and quality, without losing sight of the bigger picture.
  • Strong verbal and written communications skills, including proofreading and editing.
  • Ability to tactfully manage internal and external relationships, and communicate in a clear, direct and diplomatic style, handling sensitive situations and complex tasks discreetly, effectively and efficiently.
  • Maintains a customer service demeanor at all times , being responsive to requests and providing high quality service. Be available, as necessary, outside of normal business hours.
  • Demonstrates sound judgment and discretion in handling confidential information, as well as the ability to conduct oneself in a professional manner. Makes appropriate decisions and exercises sound judgment on the need to elevate decisions to senior management.
