The Trinity-Pawling School is a leading independent all-boys boarding school located in Pawling, NY.  We have a close-knit community with about 100 employees and approximately 250 students. Our activities and efforts are focused on our mission, which is to educate and instill a value system that prepares young men to be contributing members of society amidst the challenges of the ever-changing world. 

Currently we are seeking a Stewardship and Research Associate to support the fundraising efforts of the School by providing strategic insights with prospect and portfolio research, as well as implementing and sustaining a donor-centric stewardship program.  This position reports to the Director of Advancement Communications and Institutional Relations.

Essential Duties

  • Identify and qualify new prospects and funding opportunities, as well as prioritize existing prospects, by conducting proactive and reactive research and interpreting biographical and complex financial data on individuals, corporations, foundations, and government entities; and categorizing prospects and funding opportunities related to wealth, capacity, affinity, giving history, and fundraising priorities.
  • Draft donor research profiles including fundraising strategy recommendations for key prospects and high-level data analysis for frontline fundraisers and School leadership in preparation for campus visits, meetings, events, and other activities as needed.
  • Leverage analytics, giving histories, current economic and world events, news on prospects, trends, and other research pertaining to prospective donors to devise engagement plans and giving expectations.
  • Manage prospect portfolio system, tracking cultivation and solicitation status, identifying pipeline gaps and working creatively and proactively to close those gaps through discovery of new prospects and untapped potential within the current prospect pool, in collaboration with frontline fundraisers and the Director of Advancement Communications and Institutional Relations.
  • Develop creative strategies and guidelines, as well as improve existing processes, to acknowledge, recognize, and steward major gift and leadership donors of the School’s giving societies, and engage internal stakeholders in stewardship activities.
  • Steward donors through development and implementation of a comprehensive donor recognition program encompassing naming opportunities, dedications, awards & celebration ceremonies, planned giving society, web and print publications, Annual Report, social media, videoconferencing, social gatherings and special events, hosting campus visits, and ensuring acknowledgment letters and notes are both customized and meaningful.
  • Manage expendable & endowed scholarship and donor fund stewardship process, working cross-departmentally to ensure scholarships are awarded to students aligning with existing scholarship criteria, and stewarding donors through communications and reporting on scholarship recipients and/or signature programs or initiatives.
  • Support the Director of Advancement Communications and Institutional Relations in the development and management of templates, including agreements, pledge forms, proposals, concept briefs, reports, the case for support for diverse initiatives, and other templates as needed.
  • Enhance donor experiences by evaluating the effectiveness, quality, and efficiency of stewardship programs, recording and reporting key metrics, and sharing with the donor the impact of their gift.
  • Develop a pipeline of philanthropic alumni by identifying, training, and engaging student ambassadors to steward and network with alumni.
  • Drive systems change to improve productivity, efficiency, and innovation across the Advancement Department.
  • Improve efficiency by analyzing data in collaboration with Advancement team staff (e.g., donor pool, response rates, ROI, etc.); establishing goals by using benchmarking data and best practices from peer institutions; analyzing demographic, psychographic and philanthropic trends; and creating reports from the School’s database.
  • Develop personal mastery via professional development, reading professional publications, and networking to incorporate best practices and innovative research and stewardship strategies.
  • Promote the interest of students by being a good role model, establishing and reinforcing clear boundaries and guidelines, encouraging students’ autonomy and independence and acting in a transparent manner.
  • Provide communications and institutional relations support and perform other duties as required.

Position Requirements

The qualified candidate must have Bachelor’s degree from an accredited college, 1-2 years of research experience at an educational institution or other nonprofit organization; proficiency in excel, Raiser’s Edge or similar donor management system, research platforms, data mining, data entry, and reporting, and strong quantitative and qualitative analytical skills, communication and presentation skills, and project management experience.

In addition, the candidate must demonstrate the ability to:

  • leverage strong writing skills with impeccable grammar and eloquent prose, in forms ranging from casual emails to personalized acknowledgment letters and information-laden reports
  • be resilient, take initiative, and be a self-starter
  • create new and innovative strategies to steward donors and inspire philanthropy
  • develop and execute plans & projects (including goals, objectives, and action steps) that are aligned with School’s mission and vision
  • work collaboratively and build relationships throughout the organization
  • juggle multiple projects with competing deadlines
  • use data to tell stories, impact results, and promote the efforts of the School
  • learn and master new technology quickly
  • create documents, spreadsheets, reports, and presentations using Microsoft Office and Google products
  • focus on the overall mission and goals of the School with a positive can-do attitude
  • work effectively with a team and possess a sense of humor, flexibility, high energy, and collegiality
  • participate in evening and weekend activities & travel as necessary
  • meet the physical demands which include travel on uneven terrain, climb/descend stairs, and carry up to 50 pounds
