Job Description

The Sandra Day O'Connor College of Law seeks a dynamic individual to serve as the Office Supervisor for the Development Department. The candidate will perform complex administrative duties of a responsible, sensitive and confidential nature, requiring considerable independence of action for the Senior Director of Development; as well as assist the department in achieving goals, objective and overall cohesiveness in daily operations of the department.

 

Salary Range

$41,328 - $47,500 per year; DOE

Essential Duties

  • Provide office operations support such as receiving and screening telephone calls and visitors, maintaining supervisor and staff calendars, opening and reviewing incoming mail, and responding to inquiries
  • Coordinate in/out of state travel arrangements for Director and department staff
  • Monitor expenditures and supervise expense report reconciliation
  • Manage deposit procedures for incoming donations
  • Coordinate major gift process, following practices as laid out by ASU Foundation requirements 
  • Monitor and maintain supply inventory
  • Coordinate with other departments at the Sandra Day O’Connor College of Law to assist in their fundraising efforts by tracking incoming donations, billing, ensuring proper practices 
  • Liaise with the Scholarship Department to review and track funding, and keeping them informed of new scholarship opportunities
  • Provide record keeping and maintenance requiring sensitive handling of highly confidential information
  • Provide direction and supervision to student support staff
  • Physical presence at the workplace is an essential function of this position
  • Perform other duties as assigned to support the goals of the department and/or ASU

 

Minimum Qualifications

Six years of office/clerical experience, which includes two years of lead experience; OR, Associate's degree in Office Administration, Business Administration or a related field AND four years of clerical/administrative experience which includes two years of lead experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Evidence of effective communication skills both verbal and written 
  • Experience with Microsoft Office applications (e.g. Word, Excel, Access, Outlook)

  • Demonstrated knowledge of standard office procedures
  • Experience with cash handling
  • Experience supervising others
  • Experience using independent judgment to make decisions within the scope of the position

 

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. 
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. 
  • Communicate to perform essential functions. 
  • Use standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor and mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
