  Responsibilities

The Central Development Program Associate/Executive Secretary provides clerical support to the Director/Foundation Vice President for Central Development and the Assoc Director/Foundation Assistant Vice President for Central Development, and directly manages operations-related projects.

Gift Agreement Management

Track all Gift Agreements to ensure proper review, signatures and compliance by appropriate parties.

Central Development Support

Provide administrative support to include preparation of correspondence, appointment scheduling, travel arrangements, preparation of itineraries and calendar maintenance. Provide administrative support for the FSU Foundation Trustees Development Committee. This includes attending all Development Committee meetings, assisting with preparation of materials in advance of the meetings and documenting the minutes of each meeting. Assist the Director/Foundation Vice President for Central Development and the Assoc Director/Foundation Assistant Vice President for Central Development in preparing yearly budgets, monitor departmental expenses and prepare quarterly variance reports. Coordinate regular staff meetings with Central Development staff and others as appropriate.

Clerical

Prepare departmental disbursement requests and reconcile purchasing card accounts. Provide front desk coverage and lobby support in rotation system. Protect confidential information. Perform other duties as assigned.

Qualifications

High school diploma/equivalent and four years of administrative support experience in a professional setting. (Note: post-high school education can substitute for experience at the equivalent rate.)
Commitment to best practices of equity, diversity and inclusion.
Proficiency in the Microsoft Office products suite (Excel, Outlook, Word), or equivalent software.
Excellent communication skills to include verbal and written proficiency.
Excellent organizational and administrative/clerical skills.
Experience prioritizing, organizing and performing multiple work assignments simultaneously and in a detail-oriented environment.
Ability to handle confidential, sensitive information with the highest degree of professionalism.

Preferred   Bachelor’s degree preferred.
Professional demeanor with a teamwork approach and a can-do, assertive philosophy.
Functional knowledge of constituent database software, preferably Blackbaud CRM.

Soft Money Funded Position

This is a soft money funded position, with renewal based on available funds and the needs of the University.

Criminal Background Check

This position requires successful completion of a criminal history background check. The background check will be conducted as authorized and in accordance with University Policy 4-OP-C-7-B11.
