The Maritime Aquarium at Norwalk, Inc. (TMA or the Aquarium) seeks an Implementation Project Manager to oversee the transition of its Customer Relationship Management (CRM) database to a new platform. This consultancy will be time-bound, November 2021 - May 2022, and report to the Director of Development. 

  

ORGANIZATION BACKGROUND  

 

The mission of the Aquarium is to inspire people of all ages to appreciate Long Island Sound, its ecosystem and the global environment through living exhibits, marine science and environmental education. For more than 32 years, the Aquarium has played a significant role in shaping the landscape of Norwalk and the region. The second largest family attraction in Connecticut, and 50 miles from New York City, the Aquarium hosts nearly 500,000 guests annually. 

 

Its primary exhibits take guests on a voyage from the shallow salt marshes and estuaries to the depths of the Long Island Sound and the ocean beyond, culminating with habitats for sharks and harbor seals. Altogether, the Aquarium is home to nearly 7,000 animals and more than 360 species in 75 exhibits. A new 4D Theater offers a unique sensory film experience for guests. Its education programs introduce approximately 80,000 students, campers and scouts to marine and STEM education. The Aquarium is recognized as a top aquarium in the nation, and is accredited by the Association of Zoos and Aquariums. It is an active participant in the local and regional community. 

 

The strength of the Aquarium is its 60 full-time staff, and part-time and seasonal staff, in addition to nearly 300 volunteers, which contribute 28,000 hours annually. While the pandemic challenged the Aquarium in profound ways, the team’s resilience and creativity led to new ways to connect with the community, and renewed optimism for the future.   

 

OVERVIEW  

The Implementation Project Manager will oversee the transition of TMAs CRM to a new platform.  Reporting to the Director of Development, the individual will be the primary point on contact, internally and externally, on the project ensuring: deliverables are met, stakeholders are engaged, integration across platforms is complete, and ultimately, the implementation is on time and on budget. Given the investment in new software and hardware, and the reliance on the CRM across the agency, the consultant will work closely with TMA Senior Staff, COO and CEO.  

 

PRIMARY RESPONSIBILITIES 

 

Overall Project Management 

 

  • In conjunction with CRM vendor, develop and manage project timeline:
  • Identify, assign, and plan tasks for completion to Core Project Team throughout implementation process, ensuring all projects are completed within specified time constraints.
  • Effectively communicate with TMA Management Review Group (MRG), Core Project Team (CPT) members, and Tessitura Onboarding specialists via multiple communication channels/tools.
  • Partner with TMA Senior Staff to confirm their team members are available to meet implementation assignments and deadlines such as: review of CRM specifications, test system configurations, complete key data pulls, review converted data files, and train staff members.
  • Perform project risk analysis. Capture and manage project issues, risks, and changes related to project scope; alert CPT & MRG of issues, risks, and changes.
  • Ensure the project scope remains within initial budget and timeline constraint to meet "Go Live" deadline of March 2022; alert Project Lead & MRG to any changes that would affect either.
  • Determine if the organization is ready for the Go Live. Determine that all modifications, interfaces, and integrations have been configured and converted correctly.

 Training 

 Communicate training opportunities, hosted webinars, and onboarding resources offered by Tessitura to each member of the Core Project, respective to their department.

  • Schedule and book meetings of training opportunities, webinars, and onboarding resources through TMA calendar tool
  • Ensure documentation of all business practices, policies, and procedures as related to CRM activities and/or interfaces.
  • Complete user-friendly training materials including, but not limited to: quick reference tools, one-pagers, full handbook.

 Project Close Out 

 Perform post implementation audit of initial planned tasks not completed. 

  • Including system modifications and functions that may not be working correctly; continued training for individuals that need it; continued implementation and updating of new business practices and procedures.

QUALIFICATIONS 

Work Experience 

  • Minimum of five years of experience in project management; certification (PMI, LSS, etc.) a plus.
  • Experience working under pressure and managing multiple, competing tasks and priorities.
  • Successful completion of at least one technology solution.
  • High-level of proficiency with Microsoft Office suite and Adobe software is required; CRM database experience desired.
  • Four year college degree required.
