The Parent Giving and Boulder Advancement Programs (PG/BAP) team for the University of Colorado Boulder encourages applications for an Events Program Manager. PG/BAP events play a crucial role in growing and deepening constituent relationships with CU. Our events support the University as we engage, qualify, cultivate, and steward new and existing donors to the campus. Reporting to the Assistant Vice Chancellor for Parent Giving and Boulder Advancement Programs, this role is vital to our team and will coordinate and lead implementation of all the office's events (25+/year) locally and nationally. This position coordinates and collaborates with Donor Relations, Advancement partners throughout campus, and serves as part of the department’s administrative team.

The PG/BAP team engages and generates philanthropic support from parents, alumni and friends that benefit our schools, colleges and programs, including Student Affairs, Undergraduate Education, Financial Aid and the Office of Diversity, Equity, and Community Engagement.  What Your Key Responsibilities Will Be Events Management   1. Plan and implement, or serve as a partner on, a broad range of in-person and digital events for donors, prospective donors, parents and alumni in accordance with University best practices, policy and protocols. Events range in size from small dinners of 10 to large gatherings of 200 or more guests, both locally and nationally.   2. With leadership from the Vice Chancellor for Advancement and the Assistant Vice Chancellor for Parent Giving, Boulder Advancement Programs, is responsible for parent engagement weekends, held twice annually, around the Chancellor’s Parent Leadership Society Board meetings.   3. Strategic leadership of events: with office and advancement leadership, plan events to highlight campus areas of expertise/themes that align with fundraising opportunities for the PG/BAP office, academic units, and other campus priorities. Draft talking points and scripts for campus leadership who attend/host/speak at events.   4. Logistical leadership of events: with a focus on meeting agreed upon timeline, build invitations and mailing lists, secure venues and caterers, manage vendors, handle RSVPs, choose menus/decorations, create nametags and check-in lists, coordinate day-of activities, and staff events as appropriate.   5. Event Communication: in coordination with the Sr. Program Manager of Stewardship, develop appropriate communication plans for events that include save-the-dates, printed and digital invitations, pre- and post-event follow up.   6. Manage large data sets for outreach that lead to optimal event participation.   7. In partnership with Donor Relations, support the planning of events when the Chancellor’s attendance overlaps with PG/BAP events. Manage donor access to ticketed events, including football tickets, suites and other activities.   8. Respond to inquiries related to events, event attendance and/or general questions about CU in a timely and professional manner.    9. Work closely with student assistants for support.   Program Support   1. Perform administrative tasks which may consist of correspondence, composing and maintaining external lists, internal documents and processes.   2. Follow guidelines from the department manager regarding budgeted expenses associated with events. Review “budget-to-actual” status on a monthly basis and highlights any significant concerns with management.   3. Act as liaison to University contacts, vendors, donors, volunteers, and others as related to assigned programs/projects.   4. Assume special projects as requested by leadership, and other duties as assigned. What You Should Know We currently offer a flexible schedule with a combination of weekly remote and in-office work.   All University of Colorado Boulder employees are required to comply with the campus COVID-19 vaccine requirement. What We Require
  • Bachelor’s Degree or equivalent combination of education and experience. 
  • Minimum of 3 years’ experience planning and managing events.
What You Will Need
  • Familiarity with donor relations techniques and standard methodologies.
  • Ability to set and meet due dates.
  • Excellent written and oral communications skills, for both internal and external audiences.
  • The highest degree of integrity.
  • Ability to manage multiple tasks and set priorities in fast-paced environment.
  • Ability to exercise a high degree of confidentiality, diplomacy, discretion and collaboration with all levels of customers.
  • Expert ability to use and analyze data.
  • Expert digital literacy especially as it relates to Microsoft Office products, including Word, Excel, and PowerPoint.
What We Would Like You To Have
  • Experience with nonprofit event management and/or donor relations. 
  • Familiarity with Cvent, Salesforce, Marketing Cloud, and/or database software.
