The Grants and Contributions Program Manager is a key member of the Community Investing and Development (CID) Operations and Finance team, reporting to the SVP, Grants and Contributions. The CID group works to enhance Citi’s positive social impact through equity investing, innovative financial solutions, and strategic philanthropy. The Grants and Contributions Program Manager will oversee the implementation, and help drive the maintenance and improvement, of Grants and Contributions processes and workflows, with primary responsibility for Grants Administration and for Information Management, Analysis and Reporting.

 

Responsibilities:

General:

  • Support the planning, coordination, and execution of the day-to-day activities of the Grants and Contributions team

  • Help drive process simplification to increase operational efficiency, reduce process variation, and identify gaps in compliance or controls, while balancing requirements of program and operations staff

  • Develop and apply in-depth understanding of the function’s objectives to create and define requirements for best-in-class program and process governance

  • Partner with key stakeholders and cross-functional partners in the execution of due diligence and approval processes

  • Design controls and monitoring tools to mitigate identified risks and escalate when necessary

  • Support management of workflow application(s) as needed, including tasks such as requirements documentation, solution design, UAT, and user support

  • Manage project timelines, milestone tracking, and expected outcomes, and ensure effective communication and coordination

Grants Administration:

  • Manage processing of grant applications and payments, ensuring compliance with IRS regulations and corporate and foundation requirements

  • Provide clear and concise grants administration policies and procedures for grantees and staff

  • Play a lead role in compliance audits 

  • Manage Grants Associate(s) and Analyst(s), as needed

Information Management, Analysis and Reporting

  • Ensure integrity and quality of grant information system and data

  • Assist in preparation of data/impact analyses for strategy and portfolio planning

  • Support management of grant information and analysis for all internal and external reporting requirements 

  • Assist in maintenance of grants management software and implement ongoing technology improvements

  • Ensure adherence to company-wide technology standards and policies

Risks and Controls

  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

  • Bachelor’s degree

  • 5+ years of related work experience

  • Knowledge of non-profit/Foundation compliance and grants management software/systems a plus

  • Strong preference for non-profit law or accounting experience

  • Must be a team player with an ability to work in a high-performance environment, with tight deadlines and changing priorities, and have a keen ability to prioritize

  • Ability to design, implement, and monitor effective workflow processes and procedures

  • Strong information technology skills and ability to quickly gain command of new systems

  • High proficiency in Excel and data analysis skills

  • Must be detail oriented and well organized

  • Strong analytical, communication, presentation, project management, planning, organizational, and problem-solving skills, and entrepreneurial mindset
