JOB TITLE: Development Associate (Chairman’s Council) DEPARTMENT: Development REPORTS TO: Vice President, Development   The New-York Historical Society, a preeminent educational and research institution, is home to both New York City’s oldest museum and to one of the nation’s most distinguished independent research libraries. N-YHS is dedicated to presenting exhibitions and public programs and fostering research that reveals the dynamism of history and its influence on the world of today. Founded in 1804, its holdings cover four centuries of American history and include one of the world’s greatest collections of books, manuscripts, graphic materials, historical artifacts, and American art documenting the history of the United States as seen through the prism of New York.   JOB SUMMARY:         The Chairman’s Council at New-York Historical Society is a membership group of highly engaged supporters who enjoy opportunities to meet and learn from some of today’s most prominent historians, attend VIP events, and receive complimentary tickets to many of New-York Historical’s groundbreaking public programs. Working with the Vice President for Development and the Chairman’s Council Chairperson, the Chairman’s Council Associate coordinates the day-to-day activities of the Chairman’s Council, which annually generates approximately $2 million in revenue from more than 280 member households.   ESSENTIAL JOB DUTIES:   •   Provide concierge services to all Chairman’s Council members including, most importantly, VIP ticketing for public programs, including help with digital program access and in-person event seating; •   Work closely with event consultant and the Chairman’s Council Chair on annual Weekend with History program planning, and ensure timely renewal and acknowledgement of all Chairman’s Council gifts; •   Work closely with Chairman’s Council Chairperson to organize Dinners with History, private tours, an annual fall event, and other in-person and virtual events for Chairman’s Council members, including an on-site presence for evening and weekend events when necessary; •   Provide support for annual Weekend with History in New York; •   Coordinate the annual Weekend with History: Palm Beach including being on site in Palm Beach with events staff to oversee event; •   Work with the Chairman’s Council Chairperson to produce and distribute a semi-annual Chairman’s Council Calendar of Events; •   Maintain chart of Vice Chairs and Co-chairs who have been invited to Dinners with History or other events; •   Update Chairman’s Council Summary Projections tab and ensure all other financial documents are kept current; •   Work with the Chairman’s Council Chairperson to prepare agenda and supporting materials for approximately six annual Chairman’s Council Leadership Team meetings each year; •   Take accurate minutes, circulate them for approval, and distribute them to participants for all Chairman’s Council Leadership Team meetings; •   Ensure that working Chairman’s Council contact lists are kept current and accurate and that background biographies are generated for new members and prospects; •   Engage current Chairman’s Council members to assist in cultivating prospective members; •   Execute seasonal update mailings to members; •   Maintain and ensure that the Chairman’s Council page on New-York Historical’s website is current with membership benefits and images; •   Develop outreach and invitations to members of the Legacy Council (a group of young supporters), and schedule 1–2 Legacy Council Leadership Team meetings per year; •   Additional duties as requested.   REQUIREMENTS:   •   1-2 years of related work experience in a development department or non-profit environment; •   Excellent organizational skills with the ability to prioritize multiple assignments in a fast-paced, deadline-driven fundraising environment; •   Excellent customer services skills; •   Excellent verbal and written communication skills; •   Detail-oriented with high standards for accuracy; •   The availability to work evening and/or weekend events when necessary, and the ability to travel, on a limited basis, when needed; •   Proficiency with Microsoft Office Suite and Google Suite; Database experience preferred; •   A self-motivated individual with a desire to learn; •   An enthusiasm for museum development work, humanities, and the arts, and a desire to take on challenges.   PHYSICAL DEMANDS:  The physical demands described here are representative of those that must be met by an employee with or without accommodation, to successfully perform the essential functions of this job.    This is largely a sedentary role using a computer; however, some filing is required.  This would require the ability to lift files, open filing cabinets and bend or stoop as necessary.   COVID-19 VACCINATION POLICY: To ensure the overall health and safety of the New-York Historical Society community and in accordance with New York City requirements, all newly hired employees of the New-York Historical Society are required to be fully-vaccinated against COVID-19 as a condition of employment, absent qualifying exemptions for medical, religious, or other reasons in accordance with all applicable laws.     The New-York Historical Society is an Equal Opportunity Employer.
