Overview
The Division of University Advancement is responsible for the University's comprehensive campaign which relies on raising major, endowed, and planned gifts from alumni, parents, and friends of the University. Such gifts range from five to nine figures and will support the University's Campaign priorities. Stewardship of these donors through meaningful stewardship and engagement events that celebrate the successes of the Campaign are vitally important to the overall success of the Division.

University Advancement seeks a qualified individual for the position of Assistant Director of Events within Advancement Events. This position will assist the Director with coordination and management of the division's highest priority signature events that celebrate donors as we advance the strategic objectives of the Campaign. Additionally, he/she will support the logistics of other Advancement events, including endowed professorship installations, regional campaign events and virtual events. The Assistant Director will take the lead on events assigned by the Director, exercising sound judgement and able to work independently. The Assistant Director will help support the creation and fulfillment of the Campaign closing celebration event and will work in concert with Advancement leadership to ensure that the event strategy is effectively supporting Campaign strategies and priorities.

The position oversees the management of diverse aspects of event/programs as assigned, in conjunction with the Director, including programming, promotion and budget management. The Assistant Director will serve as point of contact between University Advancement and University procurement, general counsel, and contracting offices on event-related matters. The Assistant Director will provide pre-event, on-site, and post-event planning and execution.

Responsibilities
Support the Director of University Advancement events in all aspects of event coordination and execution, including University signature events. Work in collaboration with the University Advancement office to organize payments to vendors for event-related expenses. Manage the compilation of invitation lists. Manage registration processes and serve as the primary and reliable point of contact for event registrants and advancement staff with events-related questions. Maintain the Advancement Events calendar. Work with University Advancement team members on their respective events as necessary, providing advice or direct support as needed, in consultation with the Director. Maintain frequent communication with divisional colleagues to ensure that they effectively leverage engagement events in their work with prospects and donors. Serve as the secondary liaison for University Advancement with the University Special Events office. Support the Division of University Advancement in achieving its strategic and fundraising goals, as well as Campaign goals, through positive and productive interaction and collaboration with all departmental staff, University liaisons, and external constituents.

Qualifications
Bachelor's degree required. 3-5 years experience working in an events role, preferable within a higher education institution. Relevant education can supplement years of experience. Working knowledge of Google Suite of applications, and the ability to learn new software programs and functions including donor database (Raisers' Edge) as well as events registration software (AlumniQ) as well as university procurement and contracting processes. Knowledge of events project management software a plus.

Must have excellent communications, organizational, and interpersonal skills. Ability to communicate effectively with University colleagues, and outside vendors. Attention to detail and ability to follow-through on projects from conception and planning to implementation and evaluation is necessary.

Must be willing to work independently in a fast-paced environment. Outgoing personality—applicant should be flexible, hospitable, gracious, assertive, motivated, independent, creative, resourceful, and have an ability to solve problems calmly and quickly. Strong listening and comprehension skills—applicant must be able to listen to instructions carefully and correctly follow directions. Strong communication skills—applicants should write clearly, be able to follow written directions, and be able to speak effectively in front of large groups;

The Assistant Director must demonstrate a high level of organization, initiative, professionalism, flexibility, and discretion. Ability to accept and process feedback and a collaborative working style are essential.

Possession of current and valid U.S. driver's license appropriate to the type of university vehicle and an acceptable Motor Vehicle Driving Record (MVR) as stipulated in the Vehicle Guidelines and Procedures Manual administered through the office of Environmental Health and Safety. Annual clearance of MVR check through the Office of Environmental Health and Safety.
