Position Description:

The Development Operations Associate is responsible for supporting the administration of the database and internal operations for the entire Resource Development team and for supporting the project management of the outsourced direct mail marketing program (mail and digital).

Core operations include: administering, maintaining, and enriching our Raiser’s Edge/RENXT database and other Blackbaud products; donation processing and receipting; assisting with data analysis, vendor relationship management, cross-departmental communications, and the direct mail marketing program.

This position will work closely with all members of the Resource Development team. In addition, they will collaborate across the Marketing and Communications and Finance Departments to support donor development and reconciliation efforts. The Development Operations Associate will report directly to the Director of Development Operations to ensure the optimal use of Habitat NYC and Westchester’s donor database and other resources to maximize the institution’s fundraising success.

Responsibilities:

Database & Operations-- 60%

  • Administer gift processing and the oversight of acknowledgement letters within RE/RENXT, including donations received via cash, pledge, recurring, and other gift types.
  • Collaborates with the team and consultants in the updating of donor records, including contact information, opportunities, actions, etc.
  • Under the direction of the Director of Development Operations, administer team needs in relation to RE/RENXT and other Blackbaud products by offering trainings and other types of support.
  • Assist in the ongoing assurance of our database’s security, integrity and maintenance. Assist in performing regular data integrity checks via querying and system review including but not limited to de-duplication and data continuity.
  • Support relationships with fundraising software vendors for all system’s needs including Raiser’s Edge, RENXT, Online Express, Research Point, Blackbaud Merchant Services, Net Community, and iWave.
  • Work closely with the Director of Development Operations and the Director of Individual Giving to support the department in ensuring appropriate tracking of fundraising activities including appeals, special events, and donor/prospect portfolio management.
  • Support in the analysis of our data for the purpose of prospect cultivation and enriching current donor-fundraiser relationships via querying, dashboard creation, and other tools.

 

Finance and Compliance—20%

  • Serve as co-liaison, under the guidance of the Director Development Operations, to Finance Department to ensure accuracy of gift/donation records and deposits.
  • Assist in the processing and inputting of physical checks and other donation materials.
  • Take part in department reconciliation and annual audit processes.
  • Ensure compliance with charitable giving standards and legislation.

 

Direct Marketing—20%

  • Helps coordinate multi-channel direct marketing plans and strategies with the Director of Development Operations, Director of Individual Giving, VP of Resource Development and Marketing and Communications Department to secure financial gifts, and to ensure financial goals are met.
  • Co-manage day-day relationships with external direct marketing consultants to implement marketing campaigns relative to creative development, print production, and data needs
  • Contributes to improvements in direct marketing project management methodologies and processes.


Qualifications:

  • High School diploma or equivalency required
  • 1-2 years of fundraising or non-profit related experience
  • Donor database experience required; Raiser’s Edge experience preferred
  • Excellent organizational skills
  • Strong written and verbal communication skills
  • Keen attention to detail
  • Ability to work independently and as part of a team
  • Ability to prioritize and meet deadlines
  • Comfortable working in a fast-paced environment where hard work, a sense of humor, and flexibility are highly valued

 

Location, Hours:

In the near term, this position is currently being offered as 100% remote. Eventually we intend to re-engage our New York City office with a hybrid in-person and work-from-home model in order to better-build cross divisional strengths with team members.

Safety is our number one priority and our office is currently retrofitted with COVID-19 safety measures. Masks and other safety equipment will be supplied to all Habitat NYC and Westchester staff upon our return.

The office is located at 111 John St. FL 23, New York, NY 10038.

Monday – Friday 9am – 5pm EST, evenings and weekends as required
