Responsibilities
The Gift and Estate Planning and Regional Development Associate is responsible for the coordination of professional support activities including coordination of marketing and stewardship, events, direct assistance, clerical support and implementation of operations for the Office of Gift and Estate Planning and the Regional Development department of the Florida State University Foundation, Inc.
Coordinates Department Activity
Marketing & Stewardship Coordinator –Leads all digital communications, marketing and stewardship projects for GEP office. Coordinates with development communications staff and/or vendors to execute all existing planned giving campaigns: twice annual marketing mailer, annual impact mailer to existing planned givers, tax planning emails, magazine/newsletter ads. Plan & oversee all facets of stewardship: Westcott Society Luncheon, Thanksgiving, New Year’s Card and birthday card to existing planned givers. Creates and implements new communication programs specific to planned giving.
Event Coordinator--Leadership role in the coordination of planned giving events such as the annual James D. Westcott Legacy Society Luncheon, and satellite events, Planned Giving Advisory Council meetings locally and nationally, and other planned giving events.
Professional Support
Provides administrative support to include preparation of correspondence, appointment scheduling, travel arrangements and calendar maintenance. Processes all deferred gifts and prepares for approval from CFO. Provides support for all open estate administration efforts and coordinates and prepares letters, files and records with the Office of Gift and Estate Planning manager. Is knowledgeable about relationships critical to the success of cultivating and stewarding James D. Westcott Legacy Society donors. Serves as the primary contact for Regional Development Officers regarding supply orders, marketing material, and any other collateral needed for the RDO’s.
Administration/Other
Prepares departmental disbursement requests, reconciles purchasing card expenditures, monitor departmental travel expenses and assist with monthly budget reconciliation for both the Office of Gift and Estate Planning, and Regional Development. Makes copies, send faxes, coordinate mailings and order supplies. Schedules meetings with academic deans, development officers, research and campus personnel. Provides front desk coverage and lobby support in rotation system. Performs other related duties as required and assigned.
Reviews, Analyzes and Reports Data
Requests information to include reports from prospect research and data management. Assists with the record keeping and processing of the Office of Gift and Estate Planning life insurance program and open estates. Protects confidential information. Distributes monthly activity reports regarding department fundraising activities.
QualificationsBachelor’s degree and two years of experience; or a high school
diploma/equivalent and experience equal to six years. (Note:
post-high school education can substitute for experience at the
equivalent rate.).
Commitment to best practices of equity, diversity and

Proficiency in the Microsoft Office products suite (Excel, Outlook,
PowerPoint, Word), or equivalent software.
A self-starter, comfortable working independently.
Excellent organizational and administrative/clerical skills.
Ability to facilitate strong communications and working
relationships with colleagues, deans, donors, prospective donors,
and alumni.
Ability to prioritize, organize and perform multiple work
assignments simultaneously and accurately in a detail-oriented
environment.

Marketing experience of 1-2 years. Education can substitute for
experience.
Professional demeanor with a teamwork approach and a can-do,
assertive philosophy.
Experience with Black Baud’s CRM Platform or other fundraising
information management systems/databases.
