Position Summary:
The Foundation Specialist performs a
variety of administrative and technical tasks in support of the
Foundation Director and the Harford County Public Library
Foundation office. Responsibilities include data entry, processing
donations, assisting with Foundation hosted events.
Essential Duties:
Provides administrative and clerical
support for the Foundation Director and Foundation office;
In a timely manner processes gifts
and pledges, create and send invoices to donors and sponsors;
Maintains accurate Foundation
records;
Maintains accurate financial records
and works with the finance team to reconcile;
Prepares and deposits checks and cash
to the bank;
Accurately maintains donor records,
tracking gifts, outreach, and stewardship;
Prepares donor, event and fundraising
reports as assigned;
Provides administrative support for
meetings and events; examples include maintaining guest lists,
creating agendas, set-up and break-down, taking minutes and
preparing recap summaries;
Assists with the preparation of
presentations, reports and other correspondence as directed;
Supports the planning, managing, and
coordination of special projects as assigned; examples include
annual campaigns, thank you mailings, fundraisers, and special
events;
Attends Foundation hosted outreach
events and special programs, as required;
Assists with maintaining the
Foundation's web site and social media channels.
Supervision Functions:
May assist with supervising
Foundation volunteers including coordinating scheduled visits,
planning appropriate projects to be completed, training, and
ensuring appropriate resources are available to meet the needs of
these projects under the direction of the Foundation Director.
Standard Functions:
Provides support for Foundation
committees and participates in workshops, seminars, and training as
requested;
Notifies Supervisor with suggested
ways to improve the efficiency and effectiveness of personnel and
procedures and system-wide goals and objectives;
Maintains good public relations with
the community through contacts with public officials, community
leaders, volunteers, Friends of the Library, appropriate school
personnel, and the general public;
Learns new skills and technologies to
retain proficiency in areas of expertise;
Is dependable and punctual;
Maintains a positive, friendly, and
cooperative attitude and provides consistent customer service;
Upholds all library policies and
procedures as defined in Harford County Public Library's Policies
and Procedures Manual;
Performs other duties as
assigned.
Minimum Requirements:
Bachelor's degree in Marketing or
related field;
Two years or more of job-related
experience;
OR the equivalent combination of
technical training, education, and/or experience;
Computer technology skills and
experience including Raiser's Edge NXT software or similar
fundraising software, preferred; Zoom, Microsoft Teams, word
processing, spreadsheets, databases, internet, and social
media;
Experience using digital cameras
including online downloading, organizing, labeling and storing of
images;
Ability to obtain and maintain a
favorable criminal background report;
Ability to provide documentation of
valid drivers license with no more than 3 points;
Ability to work day, evening and
weekend hours.
Knowledge, Skills, and Abilities:
Knowledge of fundraising principles
and practices;
Attention to detail with good
organizational and planning skills;
Skilled in grammar, proofreading, and
editing;
Ability to maintain strict
confidentiality in all matters;
Ability to prioritize, multi-task and
work on several projects at one time;
Ability to operate relevant computer
systems, including hardware and software, and office machines;
Ability to create and manage
appropriate databases and record keeping;
Ability to be adaptable, flexible and
patient with customers and staff;
Team player and skilled in working
collaboratively;
Strong communication skills, both
verbal and written;
Basic math skills;
Ability to travel to branch and
outside locations.
Work
Environment:
Work requires occasional physical
effort in the handling of light materials, up to 30 pounds, in a
non-strenuous work environment. For example, moving materials both
within the department, including working on the library parade
float, and in preparation for out-of-system events including the
set-up of tables, chairs, and display apparatus.
Environment includes moderate noises
(i.e. an office with conversations, photocopiers, and/or computer
printers).
Requires sitting and use of computer
and keyboard for extended periods of time.
Observes safe workplace practices
with uncluttered workspace, including office machines, avoidance of
trips and falls, proper lifting techniques, and following fire
regulations.
Ability to travel to branch/outside
locations is required.
