The Citi Foundation Grants Associate is a key member of the Operations team with specific responsibility for the processing and management of grants as well as information and reporting system management.

Key Responsibilities:

Grants Administration:

  • Ensure grants are in compliance with IRS and Foundation-specific regulations by performing due diligence and completeness review of grant applications and liaising with grant applicants, Foundation program officers and Citi colleagues worldwide, as needed

  • Ensure all grant reviews and approvals are conducted and initiate and administer payment process

  • Liaise with senior staff to analyze, document, and address any compliance related concerns or issues, as appropriate

  • Respond to Foundation-and grant-related inquiries from grantees and Citi colleagues

  • Maintain and analyze Foundation policies and procedures to ensure risks and controls are properly addressed and that Foundation staff understands and adheres to them 

  • Drive improvement and efficiency of grants administration processes

  • Create and provide system and grant process training to grant applicants and Citi colleagues as needed

  • Manage grant applications, guidelines, reports and grant related materials in collaboration with program staff


Information and Database System Management

  • Manage Grant Management system (FLUXX) user experience for all internal and external users (including customer service, technical support, and problem resolution)

  • Build and maintain database forms/applications and functionality

  • Prepare and provide data for external benchmarking surveys, assist in ad hoc reporting, and run regular efficiency metrics for internal and external purposes

  • Ensure data quality assurance process is in place and regularly completed

  • Determine business requirements/enhancement needs by proactively collecting user feedback and translating those needs to appropriate system and workflow improvements



  • Bachelor’s degree

  • 3+ years of work experience

  • Excellent project management and problem solving skills

  • Highly proficient in Excel and data analysis

  • Ability to gain a strong command of new systems

  • Excellent written and verbal communication skills

  • Must be able to work well in a fast-paced environment, be a team player, and have a keen ability to prioritize

  • Must be detail oriented and organized

  • Good customer service skills

  • Knowledge in Fluxx or other grants management software a plus
