Position Summary

Reporting to the Associate Director of Donor Relations, the Database and Donor Information Manager is a critical operational role that works closely with Development and Finance team members to provide crucial data and analysis in support of organizational revenue goals and communication needs.

This key operational position oversees all aspects of the organization’s donor database (Raiser’s Edge) to improve database utilization, make informed recommendations, and support the identification, solicitation, and stewardship of donors and prospects. The ideal candidate will take a proactive leadership role to guide the organization through significant growth and ensure that operational resources, processes, and procedures support and facilitate overarching organizational goals. Duties include gift entry, proper data hygiene, analysis of trends and statistics to guide fundraising work, reliable reporting, and adherence to best practices.

This full-time, exempt position works closely with members of the Finance team to reconcile figures and ensure best practice compliance. The Database and Donor Information Manager brings informed expertise to the role and operates autonomously as needed while also building collaborative relationships with Development team fundraisers to influence, inform, and guide their solicitations and work plans.

Essential Duties

FUNDRAISING SUPPORT: 45%

  • Utilize database expertise to support prospect research and qualification
  • Act as organizational expert on DonorSearch wealth screening software and identify, suggest, and implement ways it can support overall fundraising efforts
  • Proactively drive the organization’s Moves Management process. Direct and reinforce the proposal process to fundraisers, including creating and sharing a timeline, reminders, follow-up, etc. as needed. Keep campaign and other gift proposals updated and accurate in the database and track and report on progress throughout the year
  • Govern the nascent use of the Raiser’s Edge Membership Module to track gift timing, renewals, upgrades, downgrades, and other trends
  • Assist the Events team by tracking each event invitation and attendance in Raiser’s Edge and provide post-event reporting
  • Play active role in online and email fundraising efforts and provide testing, review, and input, as well as identify opportunities for improvement
  • Partner with Direct Response Program Manager, Communications staff, and others to ensure online gift options are available, functioning correctly, and providing an optimal donor experience

LISTS AND REPORTING: 30%

  • Produce highly complex lists and reports based on evolving criteria and output, requiring knowledge of SFGHF data and Raiser’s Edge capabilities
  • Perform regular audits to ensure the integrity of the data and reconcile gifts, grants, and pledges with the Finance department
  • Ensure pledge protocols are followed and proactively prepare pledge reminders
  • Work with Development team fundraisers to determine their needs and pull, segment, and analyze data/lists for their mail and email solicitations, stewardship touchpoints, etc.
  • Work alongside the Events team to pull, segment, and analyze data/lists for their mail and email invitations, call-out year-over-year trends when applicable
  • Collaborate with Marketing and Communications to pull mail and email lists for their e-newsletters, stewardship reports, etc.
  • Generate gift reports detailing individual, corporate, foundation, and other revenue and/or outstanding gifts
  • Coordinate donor giving information for audit and recognition purposes
  • Work closely with Finance to complete the annual audit

GIFT ADMINISTRATION AND DATABASE MANAGEMENT: 15%

  • Oversee the SFGHF donor database, Raiser’s Edge; provide expert insights and analytics to Development, including configuring the database and data reporting and analysis to best meet the organization’s evolving needs. Adhere to evolving best practices and accurate, complete record-keeping
  • Oversee day-to-day gift and fundraising operations including continually identifying and implementing areas for improvement; take initiative to problem solve or make the case for change to others as needed
  • Be a backup as needed to code, enter all gifts, grants, pledges, and proposals
  • Lead and guide the use of the Membership Module, proposals, appeal codes, sources, attributes, and other data tracking tools in Raiser’s Edge for contribution analysis and donor stewardship
  • Maintain external vendor and consulting relationships, including as the point of contact with Blackbaud / Raiser’s Edge and other back-end fundraising vendors, to ensure optimal data and fundraising outcomes
  • Manage electronic and hard copy donor files, including leading and facilitating the ongoing need to digitize files, centralize digital file storage, and ensure ease of access to key donor documents
  • Develop and train others for policies and protocols for the storage and confidentiality of donor information
  • Ensure adherence to data hygiene, best practices, and donor information protocols through ongoing self-education and training as supported by SFGHF professional development resources

  • Prioritize proactive, timely, and thorough communications with leadership and other stakeholders

Experience

  • 3+ years’ experience in the field of database management
  • Advanced skills in Raiser’s Edge; formal training and/or certification a plus
  • Bachelor’s degree preferred
  • High degree of comfort with autonomy and independent decision-making required
  • Critical ability to manage own workload, track projects from start to finish, prioritize effectively, communicate clearly and proactively, and meet deadlines
  • Computer proficiency and demonstrated ability to learn new systems
  • Microsoft Office Suite, including Word, Excel, PowerPoint, and SharePoint
  • Experience with email marketing automation, particularly MailChimp, preferred
  • Experience with wealth screening, particularly DonorSearch, a plus
  • Experience with fundraising software, particularly OneCause and Omatic, preferred
  • Experience with Papersave and Crystal Reports a plus
  • Ability to work effectively and accurately both independently and with others
  • Commitment to help fundraisers parse data and otherwise perform more successfully

Compensation and Application Information

San Francisco General Hospital Foundation offers a competitive compensation package based upon experience. The annual salary range for this position is $70,000 to $85,000. Compensation also includes medical, dental, and vision insurance as well as professional development opportunities, 403(b) retirement plan, life and AD&D insurance, commuter discounts, and vacation.

This is a hybrid role with partial days onsite and partial days working remotely. As the Foundation is housed within a City of San Francisco building and because we work closely in tandem with our Hospital partners, all onsite San Francisco General Hospital Foundation employees are required to be fully vaccinated against COVID-19 as a condition of employment (except in cases of a verified medical condition or sincerely held religious belief, and only then if it causes no undue hardship to the organization or is otherwise mandated by state or federal laws).
