Position Overview: The Development Administrator and Grant Writer will be a full-time position which will focus on grant writing, database management and administrative support to both the Development Director and the President. This will include primary responsibility for all aspects of the foundation grant-seeking process including research, scheduling, writing, editing and stewardship. This position will also have primary responsibility for all database maintenance needs of the development department including contact information, gift entry, gift receipting/acknowledgement, generating pledge reminders, managing contact notes, and reconciliation with the Business Office. Another primary area of responsibility will be Alumni Relations including communications with alumni and coordinating alumni events.  This position will be responsible for all donor research needs of the development office. This position will be available to assist in the implementation of all aspects of AYA’s development and fundraising plan, assisting in the planning and execution of events, assisting in the of implementation of donor direct mail and electronic solicitations, and any other needed administrative support.

Reports To: Director of Development

This position is a salaried, exempt, full-time, regular, 12-month position with benefits.  Days of work are Monday through Friday and the core hours are 8:00 a.m. to 5:00 p.m.  Occasional evening and weekend work may be required as job duties demand.

Essential Duties and Responsibilities:

  • Primary responsibility for developing and maintaining comprehensive grants calendar
  • Writing all foundation grant proposals
  • Coordinating stewardship of all foundation grant-makers
  • Maintain up-to-date research on all current and prospective foundation grant-makers
  • Maintaining all aspects of the school’s database in NXT or other database including:
    • recording gifts
    • producing gift acknowledgements and pledge reminders
    • processing information updates and ensuring accuracy of data
    • producing all needed reports
    • working closely with the Business Office to verify accurate processing of all gifts received and managing the monthly reconciliation.
    • Maintaining contact reports in the database
  • Conducting prospect and donor research to support the front line fundraisers
  • Coordinating all direct mail campaigns that are generated in-house
  • Acting as primary alumni liaison; maintaining up-to-date contact information for all alums; coordinating, growing and formalizing the Alumni Council
  • Supporting President’s work with Boards of Trustees and Directors including correspondence, meeting preparations, meeting minutes, and other special projects
  • Providing support for the Annual Benefit Auction
  • Providing support for planning and implementation of all donor stewardship, cultivation and fundraising events
  • Providing administrative support to the Development Director and President

 

Requirements:

  • Excellent writer and overall communicator
  • Excellent organizational skills
  • Overall computer proficiency including Raiser’s Edge NXT, Research Point, Word, Excel, PowerPoint and Outlook as well as working knowledge of email management systems such as Mailchimp or Constant Contact
  • Detail-oriented approach to work with a record of commitment to accuracy and excellence
  • Ability to manage multiple priorities and meet tight deadlines
  • Ability to work as part of a team and willingness to take on responsibilities beyond those explicitly assigned
  • Ability to graciously navigate social situations with donors of all levels
  • Excellent interpersonal skills and overall teach-ability
  • Sound judgment relating to confidential matters
  • Ability to work some evenings for events
  • BA degree required
