Harvard-Westlake seeks a dynamic, detail-oriented, creative, and professionally mature individual with an entrepreneurial spirit to become its next Annual Giving Officer, assisting the Director of Annual Giving in leading the nation’s top independent day school Annual Giving campaign ($9M+ in 2020-2021). As an essential member of the Annual Giving Team within the Office of Advancement, this position will help to implement successful Annual Giving strategy, special events, volunteer management, communications, research, database upkeep, and stewardship.

Primary responsibilities

  • Develop annual strategy for increased dollars and participation alongside the Director of Annual Giving
  • Coordinate advancement events, with primary focus on constituent needs through the creation of invitations and management of attendance, as well as post-event database record keeping
  • Serve as the point person for volunteer contact, and assist various call teams with their needs
  • Identify, retain, educate, and evaluate callers/potential volunteers in an ongoing effort
  • Assist with production of special communication pieces including solicitations, volunteer updates, monthly parent newsletter announcements, caller training tools, thank-you cards, stewardship pieces, videos, and presentations
  • Maintain, update, and revise records in school’s database as deemed necessary/appropriate, including the reviews and approval of caller notes from parent volunteers
  • Partner in the collection of data and prospect research to enhance donor analysis and stewardship, as well as individual goal setting for both new and returning school families
  • Attend 15-20 evening events annually including:  donor stewardship dinners, caller training events, grade-level parties, as well as other school functions while tending to the stewardship of volunteers and potential donors
  • Facilitate daily e-mail of monies processed to callers
  • Assist in production of Annual Report, including generation of appropriate lists and proofreading

The ideal candidate will have:

  • Exceptional ability to organize, manage, multitask, and meet deadlines, across varied projects and constituencies within a complex office/school calendar
  • Ability to deal diplomatically and comfortably with a diverse community including parents, students, alumni, parents of alumni, grandparents, trustees, and faculty/staff
  • Embraces and appreciates opportunities to build relationships with colleagues, parents, alumni, and other affiliated families
  • Positive, energetic, and team-oriented
  • Takes initiative with a vigorous and entrepreneurial spirit
  • High emotional intelligence (EQ)
  • Calmness under pressure with sense of humor
  • Excellent writing and communication skills
  • Computer fluency and high degree of comfort with Excel and relational/administrative databases
  • Strong familiarity with (and love of) independent school environment
  • Specific knowledge and familiarity with Harvard-Westlake is a plus
  • Bachelor’s degree (or higher)
