Reporting to the Assistant Vice Chancellor for Principal Gifts
and Campaign Director, and working closely with the Vice Chancellor
for Advancement and the Chancellor’s Deputy Chief of Staff, the
Principal Gifts and Campaign Management Coordinator is responsible
for project management, event planning, vendor management, and
operational support for the Principal Gifts program and the
university’s comprehensive capital campaign. The Principal Gifts
program oversees relationship development for prospects capable of
giving $1,000,000+ to the University, and the campaign seeks to
raise $600 million to support the university’s most critical
priorities. With a high level of visibility to key internal and
external stakeholders, including members of the University of
Massachusetts Amherst Foundation Board, this position works to keep
the programs on schedule and progressing. The Coordinator promotes
UMass Amherst priorities, presents a positive image to
constituents, and advances the University’s, and Advancement’s commitment
to diversity, equity, and inclusion. This position may have the
opportunity to work remotely from the New England region.
- Serving as the primary day-to-day task manager for principal
gifts and campaign management, the Principal Gifts and Campaign
Management Coordinator will coordinate workflow, capture and
distribute action items, track progress, capture meeting minutes,
and maintain complex calendars and logistics related to donor
visits, internal and external meetings, and events involving
principal gift prospects, board members, university leadership, and
- In partnership with the Chancellor’s Deputy Chief of Staff and
the Director of Principal Gifts Operations, maintain a long-term
calendar with travel locations. Request briefing materials from
gift officers and the Prospect Research team. Develop agendas,
itineraries, coordinate logistics, and process expense
reimbursements for senior leadership travel.
- Ensure timely submission of highly professional materials to
the Chancellor's office. Develop and provide reports, proposals,
lists, contact reports, and submit associated entries into the
donor databases (Advance, Evertrue, Affiniquest).
- Work with Marketing and Communications, and Stewardship and
Donor Relations teams within Advancement, as well as external
vendors to design creative, unique, and customized principal gift
donor recognition materials. Coordinate distribution; track
inventory and recipients.
- Serve as a point of contact for VIP events, and ensure that VIP
events are executed at the highest level of professionalism. Manage
vendors, coordinate event logistics including tracking invites,
RSVPs, timelines, expenses, collateral, give-aways, and staff
involvement. Attend campus stakeholder prep meetings and provide
briefing materials. Conduct event follow-up tasks to completion.
Partner closely with Alumni Relations to maximize VIP attendance at
alumni events, and to support VIP-specific events during Homecoming
and other campus traditions and celebrations.
- Work closely with the campaign program manager to track tasks
and report on progress against milestones, capture tasks related to
individual donor engagement and strategies, capture meeting minutes
and tasks for campaign committees and task forces, and coordinate
complex calendars of events, meetings, and outreach.

Minimum Qualifications (Knowledge,

- Bachelor’s degree.

variety of constituents, with multiple interests and varying levels

ability to execute multiple projects simultaneously, and to work in

- Excellent knowledge of word processing, spreadsheet, database
management, presentation, scheduling, and email applications.
- Detail- and results-oriented with strong anticipatory
instincts; a self-starter who takes initiative, demonstrates
- Comfort and professionalism when interacting with high-net
- Ability to maintain discretion, and strict confidentiality when
dealing with senior university leadership and university
- Ability and willingness to work evenings and/or weekends, and
to travel throughout the country as required.

- Experience working in a fundraising department in a higher
education or nonprofit setting.
