In this newly created role, the inaugural Advancement Officer - Leadership Annual Giving will serve a pivotal role in Carroll University's planning and execution of leadership annual giving and reaching our collective fundraising goals. In partnership with, and supervision from, the Senior Director, the Advancement Officer works to build a pipeline of support to improve major donor qualification, increase The Old Main Society membership and total dollars raised for Carroll University. The Officer will manage their time as a frontline fundraiser for leadership annual gifts ($1,000-$25,000) and will assist in the implementation and management of programs to secure, retain, and increase leadership and reunion gifts. The Officer will collaborate with staff in Institutional Advancement to retain, renew and upgrade existing leadership giving donors, identify new prospects, and support major gift pipeline development. The Advancement Officer will build a flourishing Leadership Annual Giving portfolio by using personal solicitation, written communication, and other multichannel strategies.

Responsibilities:

As a member of the Annual Giving team, the Advancement Officer - Leadership Annual Giving supports the larger goals and projects of Carroll University Institutional Advancement, including some evening and weekend work on high-profile engagement events. Frequent travel is required, primarily locally. Key duties and responsibilities include:

  • Develop a working knowledge of Carroll University and its fundraising priorities to articulate a compelling case to all constituents and demonstrate to donors the impact of their giving.
  • Oversee all aspects of the Carroll University Leadership Annual Giving Program. Develop strategies and execute personal solicitations to retain, acquire, and upgrade donors in The Old Main Society (gifts of $1,000+).
  • Under the leadership of the Senior Director, formulate and implement strategies for short-and long-term giving outcomes. Focus on acquisition, retention, and upgrade of memberships, tracking of current Old Main Society memberships and creation of solicitation materials. Collaborate with major gift officer(s) in assigned regions.
  • Manage a portfolio of 250-350 rated leadership annual gift prospects that have a capacity and inclination to make a gift of $2,500 or more to support a wide range of university initiatives.
  • Meet activity and revenue goals through personal outreach and regular travel. Perform 25+ outbound touchpoints per day.
  • Submit contact/action reports, moves, and prospect management activities, proposal/opportunities, personal acknowledgements, and other data important for maintenance of donor/prospect records. Ensure compliance with prospect management guidelines for data entry and metric tracking. Communicate closely with Advancement Services staff regarding information pertaining to annual gift prospects.
  • Participate in development activities, such as capital campaigns, events, screening sessions, presidential briefings, committee meetings, and volunteer activities as necessary.
  • Manage portfolio of Reunion prospects from targeted populations and engage in fundraising activities. Develop and execute programs that promote reunion participation and class giving at the leadership level. Prepare reunion messaging into personal solicitations and multichannel efforts and maintain a high level of field, online, mail, and phone activity each week.
  • Meet specific number goals in four key areas: upgrading current donors, generating gifts from new prospects, qualifying, and handing off appropriate donors and stewarding leadership donors.
  • In conjunction with the Director of Stewardship and Donor Relations, manage the benefits and stewardship activities for Old Main Society members. Steward and manage established relationships to maximize engagement, renew annual giving, and present new opportunities for further engagement.
  • Design and manage multichannel communications (e.g., personal visits, mail, email, video, phone, and text) to maximize fundraising potential. Assist in the development of Leadership and Reunion solicitation materials, develop fundraising strategies, and track and analyze results of development activities.
  • Work cooperatively and strategically with IA colleagues including the annual giving team as well as major gifts, prospect research, stewardship, and alumni engagement.
  • Work with Major Gifts Officers and Director of Gift Planning to ensure clear communication and integration with the Major Gifts and Gift Planning programs.
  • Assist the Senior Director of Annual Giving Programs with strategies and activities that increase participation and giving to Carroll University.
  • Partner with faculty, staff, and students as appropriate to administer and market leadership annual giving and reunion projects. Build relationships with campus partners to ensure ample and meaningful engagement opportunities for prospects.
  • Become an expert on the various entities and activities that annual giving supports as well as other programs at CU for which gifts are being sought or that may be of interest to donors.
  • Recommend new approaches, procedures, and processes to effect continual improvements in efficiency of department and services performed.
  • Assist with Homecoming and Reunion weekend activities as needed.
  • Undertake other duties and responsibilities as assigned and appropriate, recognizing that Institutional Advancement is an integrated office requiring occasional participation in assignments that are not specific to annual giving.


Education and/or Experience:

  • Bachelor's degree required

  • Three to five years annual giving or development experience is required

  • Ability to work flexible schedule with some evenings, weekends and regional/national travel required

  • Excellent organizational and communication skills with ability to multi-task

  • Excellent computer skills including, but not limited to, word-processing, spreadsheet, database, and Web-based software required

  • Knowledge of Raisers Edge or other advancement data products preferred

  • Knowledge of Office 365, Microsoft Suite preferred

  • Ability to manage confidential information with discretion and tact

  • Strong interpersonal and organizational skills and aptitude for working with people of different ages and temperaments

  • High energy level, self-motivated and self-directed to design and complete projects

  • Preference for demonstrated success in making and closing four and five-figure gift solicitations from individual donors

  • Must have desire and willingness to meet deadlines; be a team player; work collaboratively; learn the principles and techniques relevant to annual giving and major gift fundraising and stay current in best practices

  • Participate in evening and/or weekend activities or travel as necessary

  • Demonstration of integrity, positive attitude, diplomacy, tact, courtesy, and a sense of humor

  • Demonstrated excellent written and oral communications skills; must be able to communicate with a varied university constituency

  • Strong interpersonal communications and motivational skills; must be a “self-starter” with the ability to work independently

  • Must possess a valid driver's license and be insurable under the University's insurance plan
