Summary

The Development Database Coordinator collaborates closely with the Director of Individual Philanthropy to support and coordinate the information needs for the Development team. This position is responsible for maintaining the accuracy and integrity of the ZERO TO THREE development fundraising database (Salesforce), file storage systems (SharePoint), and for being able to manipulate data to support departmental operations and planning. This is a remote position.

Essential Duties and Responsibilities Database Management
  • Proactively maintains the integrity and accuracy of the fundraising database (Salesforce), working collaboratively with IT, Communications, and Development staff to ensure that donor communications, data, and giving records are recorded accurately and kept up to date
  • Provides data and analyses on donors, grants, contracts, donations, and pledges as requested
  • Records and tracks relationships and fundraising activities both in Salesforce and in internal file storage
  • Thinks strategically to find innovative ways to track trends, connections, and patterns in the database
  • Responds to database requests from Development staff, manipulating and generating data reports to satisfy internal inquiries
  • Proactively identifies and reports issues and idiosyncrasies in the database, working with IT to address and solve them
  • Participates in monthly donation reconciliation meetings between Development and Finance departments

Individual Donor Solicitation Support

  • Generates lists and segments for mailings (digital and direct mail) and completes mail merges, printing, and mailing for smaller appeals and gift acknowledgement letters
  • Tracks responses to mailings and campaigns and assists with follow-up communication to donors
  • Provides analysis of appeals and campaigns’ effectiveness
  • Maintains organized donor files and database records

Internal Development team support

  • Supports the Director of Individual Philanthropy and the CDSO as needed with their work with funders, including attending internal meetings, assisting in reporting processes, tracking deadlines, and managing schedules
  • Anticipates and understands the goals of the department, paying close attention to changing priorities and programs in advance of their execution
  • Assists in the development and maintenance of the organizational development plan, including tracking internal and external deadlines and coordinating and overseeing workflow

Miscellaneous

  • Conducts regular capacity screenings and elevates donors to prioritize for growth
  • Compiles roster of donors for the annual report
  • Assists with pulling and updating contact lists for Development communication
  • Performs other job-related duties as needed and supports the Development Team on administrative tasks as requested

Essential Skills and Experience

  • At least 3 years of experience using CRMs for fundraising or in a closely related CRM-management role
  • Technical aptitude and proficiency with Salesforce (required), Pardot (preferred), and Microsoft Office and/or experience working with other fundraising technologies

Education

  • Bachelor’s degree preferred in a related field/discipline, or equivalent combination of education and experience
  • CFRE a plus but not required

Physical Requirements

While performing the responsibilities of the job, the employee is constantly required to use finger dexterity as well as sufficient hand dexterity to use a computer keyboard and be capable of reading a computer screen. Also, may need to remain seated for extended periods of time, have the ability to perform repetitive motions and reach for objects. Employee is frequently required to hold a writing instrument, communicate verbally, and hear well enough to detect nuances and receive detailed information. They may be required to grasp objects, push, and pull objects, bend, stand, walk, squat, or kneel. Vision abilities required by this job include close vision for data preparation or analysis, and expansive reading.

Working Conditions

The work conditions described here is representative of those an employee encounters while performing this job. Depending on work location, the incumbent will typically work indoors in a heated and air-conditioned office, with a mixture of natural, incandescent, and fluorescent light with low to moderate noise levels or be subject to working conditions conducive to a home office. When travel is expected, the incumbent will be exposed to outside environmental conditions during those times.
