About Theatre Development Fund

Theatre Development Fund, Inc. (“TDF”), a not-for-profit organization, founded in 1967 to promote the performing arts, is a broadly-oriented service and advocacy organization dedicated to bringing the power of the performing arts to everyone. TDF’s activities fall into three areas. TDF expands access, making the performing arts accessible to all by removing cultural, physical and financial barriers. TDF cultivates communities of theatergoers by engaging, educating and encouraging people to make the performing arts an essential part of their lives. TDF supports theatre makers and sustains creators, advancing the industry through convenings, research and the TDF Costume Collection. Through its programs, TDF brings theatre into the lives of over 2,000,000 people per year. TDF’s efforts are primarily focused in New York, but it has also been involved in audience development efforts for the performing arts across the United States and, on a limited basis, internationally.

In the five years leading up to COVID-19, TDF grew its fundraising department from three to six and increased contributed revenue by more than 50%, raising $3M annually. Coming out of the pandemic we are working diligently to return contributed revenue to pre-pandemic levels, with a focus on sustaining new donors who provided much needed emergency support during the shutdown.

About the Position

The Development Assistant reports directly to the Deputy Director of Development. This individual will support all Development Department operations, enabling the department to gracefully serve the needs of our donors. The Development Assistant also participates directly in fundraising by leading the annual TDF raffles and auctions, which together raise over $200,000. Development Operations touch all elements of fundraising activity, and integrate the work of the Development department into the rest of the TDF operations, while the raffle and auction require feats of communication with donors and platform management to ensure they run smoothly.

The work for this position has the possibility of a remote/office hybrid schedule, which is typically 35 hrs/week. Some evenings and weekends may be required. TDF is requiring all staff to be fully vaccinated and boosted and will require proof of vaccination.

In this role, the right candidate will be responsible for tasks including but not limited to the following:

Fundraising & Stewardship:

  • Plan and implement TDF’s two annual online raffles, as well as periodic online auctions, raising $200,000 annually.
  • Manage donor acknowledgment lists for Playbills and other materials, ensuring that donor acknowledgment stipulations are met.
  • Manage web portals for matching gifts, corporate social responsibility platforms, and other donor infrastructure.
  • Create and send acknowledgment letters.

Development Operations:

  • Process all gifts in Tessitura, TDF’s CRM database.
  • Manage back-end processes for the Tessitura database system to ensure smooth integration with internal and third-party systems, and liaise with Tessitura Network regarding upgrades, adjustments, and customization to the Tessitura database system.
  • Liaise with TDF Finance to manage the annual audit on behalf of Development Department, as well as quarterly reconciliations, regular invoice processing, and cash flow.
  • Schedule and attend meetings of the Development Committee, prepare materials and maintain records.

About you:

  • You have a love of the performing arts and a strong interest in making it accessible to all.
  • You have an interest in how to engage stakeholders and interested parties through fundraising, and want to gain real fundraising experience.
  • You are detail oriented with strong organizational skills.
  • You understand the importance of maintaining accurate records, schedules, and internal processes for team success.
  • You are a collaborative administrator and creative problem solver ready to work with others to make complex systems easier to use.
  • You have strong writing skills, and are comfortable communicating graciously with donors in writing and in person.
  • You have experience with Tessitura or another CRM, as well as a basic understanding of Wordfly, SurveyMonkey or similar programs.
