Job Description Summary
Reporting to the Director of Donor Relations, the Associate Director is in charge of strategic input, project management and systems implementation necessary to carry out donor stewardship and recognition programs designed to thank, engage, and retain Bentley donors. The Associate Director will communicate and coordinate internally to manage workflow and execution of activities, including but not limited to: acknowledgment, restricted fund administration and spending, donor recognition, events, stewardship reporting and donor engagement. As a key member of the Donor Relations team, the Associate Director will administer team data strategy, carry out benchmarking and industry research to improve upon and measure the program's success.

Essential Duties
  • Provide operational leadership for stewardship and recognition programs at Bentley, maintaining annual operations calendar, overseeing task and project management, and communications with internal teams.
  • Develop and deepen relationships with Bentley Financial Operations and spending departments to ensure compliance with gift policy, fund terms to maximize impact and provide updates to donors.
  • Manage endowment reporting project for over 300 donor funds in partnership with related vendors, responsible for delivery or donor reporting, both scholarship and non-scholarship, with support from the Assistant Director, Donor Relations.
  • Communicate project timelines and workflow within Stewardship team and to stakeholders in University Advancement, Financial Operations, Office of Financial Aid and others. Lead and contribute to debrief conversations with an eye towards continuous improvement.
  • Manage and maintain recognition listings on Bentley's website, including Annual Report of Donors and donor society member listings.
  • Provide information to spending departments on available donor funds, spending priority and questions about terms. Write occasional memoranda regarding fund history, use, and recommended course of action.
  • Maintain vendor relationships as needed to assist stewardship and recognition activities. Main contact for plaque vendor for physical recognition projects.
  • Perform analysis of stewardship data and metrics to measure effectiveness and inform strategic planning.
  • In partnership with Advancement Services, maintain database of naming opportunities and named spaces.
  • Write draft fund terms, statements of intent, new fund forms and naming agreements; proofread related content written by Director.


Other Duties
  • Assist Director and Assistant Director on event strategy, vendor relationships and event delivery as needed.
  • Conduct and report on research pertaining to best practices and benchmarking in the industry. Analyze metrics on the effectiveness of stewardship and recognition efforts.
  • Supervise work-study students and manage other team members on project tasks.
  • Participate in industry and professional learning opportunities.
  • Provide backup support on acknowledgments and other donor communications as needed.


Minimum Qualifications
  • Bachelor's degree with a minimum of 5-7 years of experience, preferably in higher education (or a comparably complex organization), in development, stewardship, advancement, or related field.
  • Project and event management skills, including ability to manage multi-phase projects, communicate with stakeholders and balance multiple concurrent priorities.
  • Communication skills attuned to various audiences, including tact and discretion around handling confidential information.
  • Proficiency with Microsoft Office and experience with databases (Millennium preferred), and collaboration tools.

Work Environment
  • Typical fast-paced office environment with frequent use of computer equipment.
  • The position will occasionally require weekend and evening work as needed to execute stewardship events.
  • Ability to travel on and off campus for work related events, travel may occur outside of normal business hours including nights and weekends.
  • Ability to lift and carry 20-30 pounds.
