 Position: Part-time Grants & Administrative Associate, Remote

DESCRIPTION

The Woodcock Foundation is a progressive family foundation established to link family creativity and resources with community development needs. Trustees select areas of interest, identify individuals within those areas who possess strong leadership skills, and then invest in them with both financial as well as technical resources. Since 1996, Woodcock has awarded over $80 million (at present over $4 million per year) to over 100 organizations and enterprises, primarily in the areas of social enterprise & economic development, food systems, conservation and biodiversity, democracy & media, gender equality, and civil society more broadly. 

The Foundation currently has two full-time staff members: the Executive Director and a Program Manager. The part-time Grants & Administrative Associate is a revised position to replace a similar part-time role at the Foundation. The part-time Grants & Administrative Associate will work primarily with the Program Manager and will also support the Executive Director. The part-time Grants & Administrative Associate will be responsible for most administrative aspects of the Foundation’s work and will also provide support on communications and knowledge management. The position will be primarily remote, with the ability to be in NYC on occasion for board meetings and other Foundation events. This will be a half-time position, with some flexibility around the specific schedule. Hours will not exceed 19.5 per week and will typically fall within the regular work day (i.e. between 9 am to 5 pm ET).

PRIMARY RESPONSIBILITIES

  • Update the Foundation’s administrative budget, compile monthly expense documentation, and process invoices
  • Update the Foundation’s grants budgets
  • Assist with Foundation grantmaking, including preparing grant letter templates, gathering grantee payment information, conducting grantee due diligence to verify eligibility, and sending grant letters and agreements through DocuSign
  • Carry out grants administration activities, including entering new grants using Fluxx software and tracking disbursement, report, and receipt due dates
  • Conduct basic research on prospective grantees and track prospects and key contacts
  • Assist in maintaining the Foundation’s website, including gathering materials from grantees and drafting and posting content; manage the Foundation’s Twitter account
  • Compile a regular round up of grantee press/news and key news coverage of the Foundation’s program areas as needed
  • Assist with board materials and other preparations for four board meetings per year
  • Coordinate scheduling for meetings, Zoom meetings, and conference calls
  • Handle other administrative tasks upon request of Program Manager and Executive Director

QUALIFICATIONS

  • A Bachelor’s degree or equivalent; 3-5 years of prior administrative or other relevant experience
  • Some familiarity with the not-for-profit sector and a commitment to the Foundation’s mission and programs
  • Strong administrative and organizational abilities, as well as ability to set priorities and work in a steady, self-motivated fashion
  • Comfortability working with limited supervision in a small organization and in a remote role
  • Excellent verbal and written communication skills, in particular proofreading and copy-editing, and ability to multi-task
  • Strong computer skills, including proficiency with Microsoft Word, Outlook, Excel, and Power Point, as well as Zoom and DocuSign. Familiarity with grants management software is a plus but not required
  • Excellent email etiquette
  • A strong sense of integrity, maturity, good judgment, discretion, and the ability to honor confidentiality
COMPENSATION

Between $25,00-30,000 (equivalent to about $25-30 per hour), commensurate with background and experience. This will be a salaried half-time position that will include paid time off but will not include health benefits.
