Gift Agreements Specialist

 

The Gift Agreements Specialist is responsible for preparing and reviewing documents used for accepting and closing new gifts, grants, and philanthropic commitments to ASU Foundation (ASUF) for the benefit of Arizona State University (ASU). The Gifts Agreements Specialist works directly with stakeholders of ASU and the ASUF to create new gift and grant agreements, letters of intent, amendments/modifications, and other related documentation. In this capacity, the Gift Agreements Specialist will develop and implement best practices for the processing of gift and grant documentation, and draft, review, proofread, and track agreements through the signing process. They will also provide training on these processes for development officers as needed.

 

In addition to working closely with all development officers, this position will work with the ASUF development teams and others within the ASU Enterprise to streamline gift and grant agreement documentation, optimize internal efficiencies, ensure that gift criteria and fiscal management are clearly articulated, and provide donors with an optimal gift agreement experience. The Gift Agreements Specialist will also ensure all processes, gift agreements, grant agreements, and contract documentation are consistent with university and foundation policies and practices. 

 

 

What you'll do:

  • Manage the gift and grant agreement drafting process, which includes but is not limited to receiving draft agreements, providing critical review, engaging with impacted parties to make/validate changes, highlight issues for senior management, and bring agreements to closure
  • Assist development officers with creation, review, and revision of new gift and grant agreements and related documentation by drafting, proofreading, tracking, scanning, preparing for signature, distribution, and other tasks required to finalize agreements
  • Oversee distribution and archival of all finalized gift and grant agreements to Accounting, Gift Processing, and Engagement and Outreach
  • Partner with ASU Knowledge Enterprise (KE) and Research Advancement (RA) representatives to review and execute grants being administered by the Office of Research Sponsored Projects Administration (ORSPA)
  • Create and conduct training on the gift and grant agreement process for ASU/ASUF development staff; provide the development team with the tools, resources, and understanding to create best in class gift and grant agreements
  • Manage status tracking of all gift and grant agreements and account attributes for managing gifts, as applicable
  • Perform detailed research on wide-ranging, ad hoc requests for information regarding gifts and endowments, including but not limited to, providing clarity on donor intent, status of gifts, and validation of gifts and usage for ASU units and ASUF management
  • Assist with new account requests and opportunity numbers, as appropriate
  • Other duties as assigned

  • Knowledgeable with Microsoft Office Suite (Word, Excel, Access, Power Point), comfortable with various database applications and SharePoint/OneDrive

 

 

​Relevant experience:

 

Bachelor’s degree and 3+ years related experience providing administrative support and working with preparing, revising, and finalizing contracts, template documents, and/or agreements. Experience grant writing or as a granter writer or reviewer in the nonprofit or government sector is a plus.

Clarity of focus while juggling projects or deadlines. 

  

 

Working conditions:

 

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. May be required to perform tasks in the field within and/or across University campuses. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions. This position may require some early mornings and evenings to accommodate meetings and events. This position currently requires you to work from the office Tuesdays, Wednesdays and Thursdays with Monday and Friday optional remote days.
