Position Title:  Development and Database Manager

Type of Position: Full-time, 40 hours/week

McLean Project for the Arts (MPA), a Northern Virginia-based Visual Arts nonprofit founded in 1962, seeks a full-time Development Associate to join our dynamic team in support of our mission today and vision for tomorrow as we grow. The primary role of the Development and Database Manager is to execute the end-to-end process of donor management. This position works collaboratively with the members of the MPA Staff; Executive Director, Director of Advancement, MPA Board, Marketing and Public Affairs, Finance, Exhibition, and Events teams.

In this role, the Development and Database Manager executes all aspects of our CRM platform and is an active partner with our Education, Outreach Events, and Communication teams.  CRM management includes database administration, fundraising campaign management, events, communications, and storefront. In addition, the Development Associate makes updates to our website regarding exhibitions, education programming and fundraising support throughout the year.

The ideal candidate will be a self-starter with strong attention to detail, be highly organized and communicate in an effective, concise manner. Vital to this role is the ability to work well within a team and to collaborate with the staff, board and members of the public.  Website management and WordPress skills are desirable.

Two years of experience in Non-Profit development and/or database management is required.  Salary commensurate with experience and qualifications. The position is based on-site in McLean, VA at the McLean Community Center.  Benefits include four weeks of annual leave, Federal, State and local holidays, and access to health care insurance.

Key Responsibilities

I. Database Management Responsibilities  

 Oversee the organization’s CRM database 

  • Evaluate and implement database best practices based on organizational needs 
  • Ensure all donor and gift data is entered accurately into the CRM database; generate and send receipts, thank you notes, and year-end statements to donors 
  • Set up and manage donation forms for fundraising initiatives and events 
  • Pull reports on donors, campaigns, and events to use for communications  
  • Investigate past trends of donor giving and develop strategies to enhance future campaigns 
  • Construct efficient analysis and reporting systems to support fundraising initiatives   
  • Conduct regular database maintenance 

II. Development Responsibilities  

  • Contribute to the planning and logistics of the Annual Giving and Giving Tuesday campaigns, including managing the digital and mail components 
  • Collaborate with Director of Events on annual fundraisers, including Spring Benefit and Fall Soirée 
  • Report on fundraising initiatives to the Executive Director and Board of Directors  
  • Work with Finance Director to confirm donor database and financial system of record alignment

III. Events  

  • Set up and manage registration in CRM system for instructional classes, gallery events, and fundraising events, including CRM acknowledgments and reports for event registrations  
  • Contribute to and maintain the homepages for fundraising events, including MPAartfest, Soirée, and Spring Benefit with the appropriate donation and registration links 
  • Update supporter and sponsor acknowledgments on all appropriate sites 

IV.  Communications 

  • Build and maintain email templates 
  • Craft professional and warm letters and emails to donors, artists, students, Board members, and other stakeholders.
  • Identify and build email audiences for targeted email campaigns based on donor history, event attendance, and/or other identifying information  
  • Work with the communications team to build and send CRM emails  

V. Exhibitions

  • Work with the exhibitions team to load the CRM storefront with works from current exhibitions, available for purchase  
  • When directed, provide purchase links for artworks  
  • Update exhibition team and Director of Finance with purchase history

  • Strong knowledge of Microsoft Office programs, strong experience with databases
  • Must possess a current driver’s license, a reliable vehicle, and the ability to drive regionally to off-site donor events. 
  • Willingness to work weekends and evenings as needed for periodic events.
