The Athletics team within the Office of Advancement at the University of Colorado Boulder encourages applications for a Development Assistant for Athletic Events! This role plays a critical support role for the Athletics team within the Office of Advancement. Under supervision of the Associate Director for Stewardship, Events & Engagement, this role will perform various administrative tasks in pursuit of assisting with events, donor stewardship, and acknowledgment programs.

As the fundraising arm of CU Athletics, the purpose of the Buff Club is to raise funds in support of the nearly 350 student-athletes at the University of Colorado. By securing philanthropic funding for our state-of-the-art facilities, providing scholarships, or safeguarding the mental and physical wellness of our student-athletes, the Buff Club ensures that CU Athletics and our student-athletes have the necessary resources for success in the classroom, in competition, and beyond.

What Your Key Responsibilities Will Be

Events and Engagement

  • Responsible for coordinating and implementing 3+ event series throughout the year, including donor receptions held the evening before home football games, management of Buff Club and/or Athletic Director Folsom Field suite, and basketball pre-game donor receptions.
  • Completes 'Save the Date' and invitation design, collects RSVPs, completes venue identification, catering, and on-site event staffing.
  • Under the direction of the Associate Director, this position serves as a team representative on task forces and committees within Athletics, the Advancement division, and campus initiatives.
  • Ensures the Buff Club is operating in accordance with all University Advancement guidelines related to special events and uses appropriate databases for tracking event attendees.

Acknowledgment & Stewardship

  • Under the direction of the Associate Director, this position will manage the Buff Club acknowledgment program. This includes a weekly generation and interpretation of gift fund reports, execution of postcard sends, and creation of mail-merged thank you letters and notes.
  • Collaborates with Major Gift team on personalization of process to specific donors, as well as providing lists to Athletic Director for leadership level gifts.
  • Collaborates with Buff Club sport specific liaisons to facilitate head coach thank you opportunities.
  • Supports the stewardship process through collaborating with Major Gift team to identify gifts that require a stewardship component and getting said gifts packaged and shipped.

Administrative Duties

  • Provides administrative support functions, such as answering and directing phone calls and emails, sorting and distributing mail, maintaining office equipment, and ordering office supplies.
  • Assists in the processing of donor checks and gifts.
  • Acts as liaison for the University regarding questions, research information, reports, and operations.
  • Generates department accounts payable vouchers, verifying accuracy of invoices and accounting codes to be charged. May assist in preparation and monitoring of departmental budget.

Inventory and Asset Management

  • Manages inventory of stewardship gifts and event decor, including working directly with Associate Director to identify additional gifts and decor to add to supply.
  • Assist Associate Director in creative execution of decor at Buff Club events, including setup and teardown of items.
  • Collaborate with Athletic Department staff on Nike allotments, ensuring proper sizes and inventory are available for use within stewardship program.
  • Assists Associate Director in management of inventory and gifts for major gift society.

Special Projects

  • Responsible for special projects as requested by management, and performs other administrative duties as assigned.
  What We Can Offer

The salary range is $45,000- $55,000 annually.

  • Bachelor’s Degree or equivalent combination of education and experience required.
  • A minimum of 2 years administrative experience.
