The role of Sr. Coordinator, History & Culture (H&C), is to meaningfully advance core projects that support the “Protect” pillar of The National Park Foundation ‘s (NPF) strategic plan. This work entails assisting with a portfolio of projects related to NPF’s History & Culture programs within its Resource Management Division, including African American Experience Fund, Latino Heritage Fund, Asian American Pacific Islander Fund, and Native American/ Tribal/Indigenous Fund, which directly supports the National Park Service and its partners. This position will also assist with critical activities that cut across the Resource Management team more broadly. This involves managing and coordinating the operational and administrative aspects of the grant-making process and ensuring high standards for grant management.  


Duties will include undertaking and overseeing extensive administrative and program management tasks, including but not limited to proposal coordination, grant administration, budget management and reconciliation, development of communication materials for internal and external audiences, assemble stewardship reports, coordination of key stakeholders, as well as carrying out other critical operational duties as assigned. The Sr. Coordinator will focus on the H&C team but may be called upon to support other divisions within NPF such as Office of the President, Finance, Philanthropy, and other programs such as Education, Science Fellows, and Climate Corps.

NPF awards approximately $34 million in annual grants to our partners across the National Park Service and the NGO community, with over 200 grant agreements per year.  

 

RESPONSIBILITIES AND DUTIES 

Grant and Administrative Support  

  • Serve as key point of contact for NPF grantees demonstrating superior customer service exhibited through timely, solution-oriented responses.  

  • Facilitate the administrative processes for H&C, to include but not limited to: processing grant agreements, vendor contracts, and invoices, developing and monitoring purchase orders, tracking upcoming payments due, managing budgets, etc. 

  • Work closely with Grant Management and Finance teams to increase efficiency and transparency of grant management and payment processes. 

  • Assist in reconciliation of grants for the H&C team, working closely with the Grant Management team. 

  • Support the H&C team's general administrative needs, including background research, preparation for meetings/presentations, follow-up on meeting action items, scheduling department-related events, limited technical assistance, and other duties as assigned. 

  • Collaborate with the H&C team to ensure appropriate qualitative and quantitative metrics are captured for the entire portfolio.  

  • Serve as a member of the Fluxx Taskforce as the key point of contact for the H&C team.  

  • Program Coordination  

  • Manage a small portfolio of H&C projects focused on providing opportunities in national parks.  

  • Serve as a point of contact for grantees, including NPS employees and partner organizations. 

  •  

    Impact Storytelling  

  • Support the coordination and development of high-profile external communication pieces such as monthly blogs, annual report, and annual infographics.  

  • Assist with the development of external and internal presentations.  

  • Coordinate with NPF Marketing and External Affairs and Grant Management teams to account for an editorial calendar, brand guidelines, messaging themes and goals, etc.  

  • Ensure all NPF staff have current information on projects in the H&C portfolio and demonstrate the success of philanthropic investments through regular grant updates. 

  •  

    Required knowledge, skills, and abilities: 

    • Proven experience as program assistant or program Sr. Coordinator or relevant position.  

    • Excellent organizational and project management skills.  

    • Demonstrated ability to work well under pressure, prioritize and manage multiple projects, and meet associated deadlines. 

    • Self-motivated and proactive/inquisitive, with demonstrated ability to be flexible, work independently, collaborate with others as needed, make sound decisions, and exercise good judgment and professionalism always.  

    • Demonstrates a positive team attitude.   

    • Strong communication and writing and editing skills with attention to detail; proven capabilities to draft correspondence, reports, and other written communications; strong visual/graphic communication skills.  

    • Proficient in Microsoft Office, particularly SharePoint. 

    • Familiarity of online marketing tools and social media platforms. 

    • Ability to work with diverse and multi-disciplinary teams.  

     

    Preferred education and experience: 

    • Bachelor’s Degree required.  

    • A minimum of four years of experience in partnership, nonprofit, or education work, including administrative support work with increasing responsibilities. 

    • Experience with grant management system (experience with Fluxx Grant management system a plus). 

    • Knowledge of budgeting and basic accounting/finance. 

     

    DESCRIPTION OF PHYSICAL DEMANDS AND WORK ENVIRONMENT

    • All NPF employees are required to be fully vaccinated and to submit proof of vaccination to Human Resources. Booster shots are required based on the timing recommended by the CDC and proof of boosters should be submitted to Human Resources as well.
    • Remote candidates will be considered for this full-time position. For employees based in the Washington DC area, NPF operates in a hybrid work environment from our headquarters in Washington DC where staff are expected to work from the office 8 days per month.
    • Willingness and ability to travel 25% will be expected with expenses paid to participate in corporate prospect pitch meetings, conferences, or tradeshows when normal operations resume.
