Provides support to the Annual Giving and Regional Major Gifts Programs and the Assistant Vice President for Individual Giving. Responsible for the accurate and efficient key administrative support for the Lehigh Fund student calling program, Annual Fund staff members, Annual Fund and Major Gift Officers and the Assistant Vice President of Individual Giving. 1. Provides comprehensive administrative support of the
Lehigh Liner Student Caller Program
*Assesses, packages, stamps and mails pledge confirmations and
thank you letter
acknowledgements daily
*Reviews confluence daily for Liner notes regarding constituent
contact requests, biographical
updates, pledge adjustments or special requests
*Sends any actionable constituents requests to the appropriate
parties for follow up; elevates
complex gift conversations to the Lehigh Fund Director
*Manages the Lehigh Liners email account, checking daily for
feedback and requests and passes them along to the Program Manager
for follow up
*Facilitates room reservations and catering for Liners staff
events
*Provides support for Liners meet and treat staff calendar, as
needed
*In the absence of the Assistant Director, Lehigh Liners, serves
as a backup to process payroll documents
*Sends invoices to the Executive Director, Development and
Alumni Relations (DAR) Administration for processing
2. Lehigh Fund Operations and Communications
Support
*Creates, manages and maintains a filing and records system for
direct mail, solicitations and communications
*Distributes direct mail solicitations via email to
DAR
*Builds mail-merges within Word and/ or Google Drive for various
direct mail solicitations and/ or surveys throughout each
year
*Initiates review and proofing procedures of constituent data
for mass communication to find and correct any errors in
biographical information
*Creates, manages and maintains ongoing spreadsheet of alumni
record changes and periodically submits to Information
Processing
*Ensures that confidentiality measures are consistently followed
when handling sensitive donor
information as well as other confidential information
*Manages the Lehigh Fund email account and elevates comments
and/or inquiries to leadership
*Coordinate student workers and student volunteers;
communication and scheduling, as needed
*Responds to various inquiries from donors, alumni, parents and
friends of Lehigh by answering questions and solving problems;
inherent to this activity is the need to elevate questions to the
appropriate resource in a timely manner
*Proactively assist alumni and staff; suggest or initiate
improvements to departmental processes or procedures
3. Project Management
*Liaison for annual fund and regional major gifts with the
Center for Career and Professional Development for Handshake data
administration
*Collaborate with Development Associates to provide project
management for all Annual Giving Campaigns to secure restricted
annual gifts to colleges and units
*Act as the point person between the annual fund and donor
relations, alumni relations and marketing and communications to
coalesce crowdfunding, stewardship and social media efforts, with
an emphasis on text messaging. This requires fluency in the Cadence
by Mongoose platform (training provided)
4. Provide exceptional customer service and high-level
maintenance and management of donor
relationships and donor processes
*Serve as a first line of contact for donor inquiries; build
rapport with alumni and other constituents
*Ensure that confidentiality measures are consistently followed
when handling sensitive donor
information and other confidential information
*Responds to various inquiries by answering questions and
solving problems; inherent to this activity is the need to elevate
questions to the appropriate resource in a timely manner
*Records donor correspondence in database of record in a timely
manner
*Responsible for depositing all donor's checks by completing the
digital gift log and contribution transmittal form
*Provide a consistent level of service to donors, including pool
management, assist with communications including mailings, email
outreach, invitations and phone calls
*Acts as backup to gift officers if Development Associates are
unavailable
5. General Office Administration
*Provide administrative and calendar management for the
Assistant Vice President, Individual Giving
*Schedule meetings and conference calls for Regional Individual
Giving and the Annual Fund
*Create and distribute meeting agendas, sets up meeting spaces,
catering, furniture
and technology
*Prepare and produce routine and/or specialized reports and
presentations as requested
*Lead coordinator with hiring new staff by scheduling
interviews, establishing and maintain applicant files and preparing
orientation packets
*Serves as Coordinator on special projects as assigned, often
including requesting and pulling data and reports
*Determines the best approach for fulfilling assigned tasks
using a best practices approach, as each situation may
require

Qualifications
High school diploma or equivalent combination of education and experience; Associates or Vocational/Technical Degree preferred
Three to five years related work experience
Excellent communication, interpersonal skills and a high level of customer service required
Ability to build, foster and maintain positive professional relationships
Excellent attention to detail, organizational skills, time management and sound judgment
Adept use of digital communication preferred
Proven ability to manage multiple tasks simultaneously and a high degree of initiative for bringing tasks to completion
Solid analytical, decision making and problem-solving skills
Excellent computer skills with experience using word processing, spreadsheet, database and presentation software
Successful completion of standard background checks including but not limited to: social security verification, education verification, national criminal background checks, motor vehicle checks, PATCH, FBI fingerprinting, Child Abuse Clearance and credit history based upon the requirements of the position
