Salary: $80,000 - $100,000 annually (depending on experience)

Location: Remote

POSITION SUMMARY

The Finance Manager for UBN is a lead finance position within the organization that is tasked with ensuring a) appropriate management of organizational financial data; b) ensuring timely payments to vendors; c) proper documentation and adherence to generally accepted accounting principles related to accounts payable and expense management; d) fund management e) IRS compliance; f) managing the annual budgeting process and ongoing reporting; and g) helping to build and maintain a nourishing, empowered and mutually respectful financial environment throughout the organization and its network. The position requires a high degree of integrity, time management skill, autonomy, attention to detail, self motivation, approachability, and an outgoing affect. Experience working in a non-profit environment with contracts, accounts payable, and accounts receivable is required. This role reports to the UBN Chief of Finance and Operations (CFO). This role is remote and works to support a fully-remote organization.

Team Leadership

  1. Skilled, Kind, and Compassionate Communications -Lead on friendly, outgoing, and confident communications in the following areas
    1. Team trainings related to finance and financial systems
    2. Vendor communications
    3. Negotiating contracts and payment rates with potential vendors

 

  1. Financial systems development and improvement
    1. Provide ongoing assessments of the financial management systems and tools UBN uses
      1. Including but not limited to accounts payable, accounts receivable, grantmaking, rapid response disbursements, and spend management

Accounts Payable

  1. Manage Accounts Payable System
    1. Oversee data entry related to accounts payable
    2. Oversee and supervise receipt, approval, and entry of invoices for payment
    3. Ensure proper documentation is submitted for payment of invoices including w-9’s and contracts as appropriate
      1. Work with UBN team members to ensure that vendor information is submitted and on file
  2. Lead on development and ongoing refinement of systems for accounts payable approvals;
    1. oversee deployment of needed tools
    2. Oversee and implementation training and documentation related to financial systems
  3. Lead on development and ongoing refinement of digital forms for intake of sensitive financial data as needed including but not limited to ACH payment information and W-9 collection
  4. Ensure vendor banking information is accurate by setting up phone calls with vendors to verify banking information
  5. Ensure that UBN team members are aware of payment protocols, maintaining how-to’s
  6. Create and update information sheets as needed

 

Accounts Receivable

  1. Manage tracking of pending grant funds
  2. Ensure that grant agreements maintained in shared team files as appropriate
  3. Review all grant agreements and add all reporting requirements to the development calendar

 

Financial and Vendor Data Management

  1. Support the CFO in the development and ongoing management of the annual organizational budget
  2. Manage the organization and security of all financial files virtual drives
  3. Ensure that all receipts for the company debit card are properly filed by month and card
  4. Oversee monthly credit card reconciliations

 

Contract Management

  1. Oversee the management of UBN’s contract development and files
  2. Create contract entry templates using Formstack
  3. Create a contract development overview for UBN team members
  4. Set up draft contracts for review by the CFO, UBN team member point of contact, and vendor
  5. Manage communications related to contract development ensuring that contracts are reviewed by all parties in a timely manner (i.e. sending out reminders as needed, keeping contracts moving through development in partnership with the CFO
  6. Ensure that all contracts for are on file
  7. Maintain a list of active and archived contracts
  8. Manage the list of contracts ensuring that it is up to date with contract information including but not limited to vendor contact info, UBN team member point of contact, start and end date of contract, rate and frequency of pay

 

Requirements:

  • 4+ years of experience working in a non-profit environment with contracts, accounts payable, and accounts receivable is required
  • Ability to sit for long periods working at a computer, typing, using a mouse, and engaging in remote video conferencing
  • Availability Monday through Thursday, 9 am to 5 pm; some evenings, and weekends may be required from time to time with comp time given to offset these off-hour work periods
  • Ability to track and complete tasks in a timely manner as detailed above and assigned as needed
  • Excellent attention to detail
  • Ability to analyze the efficacy of systems (data management, work flows, and more) to refine and upgrade them as needed within a team environment
  • Ability to identify problems and articulate them to leadership in a friendly, confident and skilled manner
  • Ability to joyfully and confidently present creative ideas and solutions to a team
  • Ability to learn new productivity tools and present them to the organization
  • Domestic travel required
  • Remote home office with excellent wifi access and a dedicated work space (a stipend of $150/month and a yearly furniture allowance is provided to cover the costs associated with this item)
  • Ability to lift 10 lbs
  • Personal alignment with the UBN’s mission and points of unity.
  • Experience working within the UndocuBlack Network highly preferred; and/or experience working with immigrant communities.
  • Lived experience that reflects that of our members in the Black undocumented and formerly undocumented community is a plus.
