Undocublack Network: Operations Manager

Salary Range: $80 - 100K annually (depending on experience)

Location: Remote

The UndocuBlack Network (UBN) is a 501c3 multigenerational network of currently and formerly undocumented Black people that fosters community, facilitates access to resources, and contributes to transforming the realities of our people, so that we are thriving and living our fullest lives. We do this by:

  • Developing the leadership of our members through tools, training and programming
  • Building power with and for our communities through advocacy, local organizing, and cultivating strategic alliances to advance policies that affect our daily lives
  • Centering the humanity, dignity, and wellbeing of our communities in all aspects of our work

The Operations Manager for UBN is a senior operations role within the organization that is tasked with ensuring a) management of and staff access to digital and other work tools b) management of sensitive financial and organizational data c) digital and physical security, d) travel logistics, and e) an innovatively supportive remote work environment for the organization. The position requires a high degree of integrity, time management skill, autonomy, attention to detail, and self motivation. Familiarity with nonprofit administration, databases, cloud-based filing systems, and travel management is required. The Operations Manager reports to the Chief of Finance and Operations and supervises the Operations Associate. This role is remote and works to support a fully remote team.

IT Management

  1. Serve as primary liaison with IT service providers
  2. Oversee and ensure digital security for the team
  3. Manage administrative access and billing for team productivity tools, including but not limited to: Zoom, Slack, Ringcentral, MuckRack, Google, Microsoft, Formstack, Techsoup, Adobe, Amazon.com, and Amtrav among others
  4. Manage team member access to productivity tools
  5. Provide team members with support and troubleshooting as needed for all productivity tools
  6. Create and maintain a library of resources for operations-related systems and productivity tools
  7. Oversee on and off-boarding of team members as it relates to digital productivity tools and equipment
  8. Maintain a list of equipment purchases, including computers and any other hardware; the list will include, team member that the equipment was purchased for, cost, date of purchase, location of equipment

 

Database management

  1. Oversee management of all aspects of UBN’s multi-function CRM database including:
    1. Ongoing implementation and refinement of use
    2. Team data entry protocols
    3. Policy and procedure development and oversight
    4. Overall database integrity

 

Vendor Data Management

  1. Collaborate with leadership to ensure that cloud-based filing systems are functioning as intended and implement solutions to continue to refine and update systems as needed

 

Travel & Events Lead

  1. Manage and oversee event production
  2. Ensure security of team members while in the field
  3. Serve as primary liaison with travel provider
  4. Help set up travel policies with travel provider and any other travel provider as needed
  5. Ensure that UBN team members are aware of and know how to use travel provider
  6. Ensure that guests are provided with guest credentials as needed
  7. Support team members in making travel arrangements as needed
  8. Ensure that UBN team members and guests are provided with appropriate resources for travel as follows:
    1. Per diem allowances as needed
    2. Prepayment for hotel is assured for team members and guests as needed (i.e. those without a company credit card); ensure that UBN guests are able to check into their accommodation without hindrance
  9. Support UBN team members and guests in getting reimbursement for approved travel needs as required
  10. Ensure clarity and documentation related to allowable business travel expenses
  11. Ensure that all team members and guests are aware of allowable travel related expenses

 

Requirements:

  • Demonstrated proficiency in database/CRM management
  • Proficiency using Google Workspace, spreadsheets, MS Word, Zoom, and Slack
  • Nonprofit workplace experience improving the efficacy of team communications and productivity workflows and systems
  • Previous experience providing troubleshooting support for digital productivity tools
  • Affinity for enthusiastically seeking out and learning new productivity tools
  • Demonstrated ability to stay up on latest innovations in remote working tools and productivity enhancing software and practices
  • Ability to sit for long periods working at a computer, typing, using a mouse, and engaging in remote video conferencing
  • Availability Monday through Thursday, 9 am to 5 pm; some evenings, and weekends may be required from time to time with comp time given to offset these off-hour work periods
  • Ability to track and complete tasks in a timely manner as detailed above and assigned as needed
  • Excellent attention to detail
  • Ability to identify problems and articulate them to leadership with an eye towards resolution
  • Ability to confidently and effectively present ideas and new tools to a team
  • Domestic travel required
  • Remote home office with excellent wifi access and a dedicated work space (a stipend of $150/month and a yearly furniture allowance is provided to cover the costs associated with this item)
  • Ability to lift 10 lbs
