Coordinator, Institutional Advancement Operations


The American Museum of Natural History seeks a Coordinator to join the IA Operations team. Responsibilities include accurately maintaining and updating database records, processing membership card and benefit package and tax acknowledgement fulfillment for all programs and donations. The Coordinator will assist with monthly budget reporting by helping reconcile transactions, and general clerical and other duties as assigned. This position works closely with the Assistant Director and IA Ops Team to ensure proper entry of all gifts and timely delivery of acknowledgements for gifts received.

Specific Responsibilities include, but are not limited to:
  • Gift and Data Processing: Process membership payments and donations (charging and depositing). Enter payments, new records and update existing records in database (Raisers Edge and Tessitura). Ensure that records and payment information match across all software databases as per Museum guidelines.
  • Acknowledgement and Fulfillment: Manage the complete fulfillment process: list pulling, document creation, draft approvals, document printing, and mailing. Coordinate production of weekly membership card fulfillment for all programs including individual, institutional, and corporate. Communicating with other staff on special requests for reprinting and individual specifications.
  • Other Administrative Tasks as assigned: Help train associates and other staff in Raisers Edge, Tessitura, Donor Drive, FTP sites and other Museum databases. Respond to questions and inquiries from staff regarding gifts and acknowledgements. Aid in testing various databases for any upgrades and changes. Participate in IA Events when needed/scheduled.



The expected salary range for the Coordinator, Institutional Advancement Operations is $48,000 - 55,000. This position is overtime eligible and the AMNH offers an extensive benefits package designed to meet the needs of our dedicated and diverse community.

Pay will be determined based on several factors. The hiring range for the position at commencement is based on the type of work and the scope of responsibilities. The salary and placement offered is based on a number of individualized factors, including, but not limited to, skills, knowledge, training, education, credentials, areas of specialization and depth and scope of experience.




Required Qualifications:
  • High School diploma or equivalent.
  • Strong writing and editing skills
  • 1+ years office experience in fundraising or non-profit position.
  • Proficient use of Microsoft Office programs, particularly Word and Excel, internet applications, and fundraising databases.
  • Must be able to work independently in a fast-paced environment; must be flexible with addressing changing priorities; and must be a team player
  • Strong organizational skills, attention to detail and clear communication skills
  • Ability to travel locally and work occasional evenings and weekends.


Preferred Qualifications:
  • Experience on Raiser’s Edge and or Tessitura.
  • Working knowledge of ticketing system, databases or previous experience in non-profit/museum/data entry capacity.
  • Bachelor’s degree.
