The ACLU of Massachusetts (“ACLUM”) seeks a Development Operations Associate to aid the organization in meeting its ambitious fundraising goals, which help power the organization’s legal, legislative and advocacy work. Funding targets are based on programmatic goals in ACLUM’s core issue areas including, voting rights, reproductive rights, LGBTQ rights, immigrants’ rights, criminal justice reform, open government, digital privacy and free speech. The focus of this role is to process and track donations, manage the Salesforce database and donor data, conduct research and aid in prospecting of new donors, and provide operational support to the Development team. This position reports to the Deputy Director of Development and works closely with other ACLUM departments to achieve development objectives.

Flexibility to accommodate work outside of regular business hours when warranted is an important requirement for this role.

Essential Duties

Database Management and Donation Processing

  • Process donations received through multiple giving vehicles, and ensure timely and accurate entry into ACLUM’s Salesforce 360 database.
  • Prepare and send gift acknowledgements to donors.
  • Generate reports and create dashboards to inform fundraising strategy and targeted solicitation efforts.
  • Coordinate with ACLM’s Development Director, Deputy Director of Development, Finance team, and the National ACLU Development team for weekly, monthly, quarterly, and annual reconciliations and audits.
  • Prepare reports and maintain backup documentation for reference in reconciliations, audits and other development activities.

Operations and Logistical Support

  • Serve as the primary point of contact for donor inquiries via phone, mail and email.
  • Provide operational support for various development activities, including but not limited to updating donor information and logging solicitor activity into the database, and preparing donor lists for mailings.
  • Process and maintain pledge, bequest, and matching gift paperwork in accordance with applicable requirements.
  • Conduct research and initial prospecting of new donors using reference databases and web-based search tools.
  • Assist with research of new foundations that may qualify for ACLUM’s grants portfolio.
  • Coordinate with the National ACLU database team to generate portfolio, pledge, and financial reports, as needed.
  • Attend weekly calls hosted by the National ACLU Development team, capture notes, and provide updates at ACLUM Development team meetings.
  • Serve as liaison for the Development team at internal meetings, as assigned.
  • Partner with the Communications & Event Coordinator to calendar Development meetings and track internal deadlines to support the department’s work.
  • Aid the Chief Development Officer and Deputy Director of Development in preparing materials and presentations for staff, department and board committee meetings, as assigned and against applicable deadlines.

Other Responsibilities

  • Special projects and other tasks as assigned by the Chief Development Officer and Deputy Director of Development.

Qualifications, Experience and Attributes

  • Minimum of two years’ work experience in data entry and database management, as well as client relations and correspondence required. Experience in a fundraising environment and gift processing strongly preferred.
  • Experience in a financial role and/or with financial analysis a plus.
  • Experience with the Salesforce 360 customer relationship management (CRM) platform preferred.
  • Highly proficient in the use of Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and SharePoint.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously and meet tight deadlines.
  • Ability to work independently, proactively and collaboratively to get things done.
  • Excellent interpersonal, verbal and written communication skills.

  • Ability to manage and maintain confidential and sensitive information.
  • Keen attention to detail, high-quality output, and responsive communications.

Key Performance Indicators

  • Timely and accurate entry of gifts in the donor database, and production of written acknowledgements to donors
  • Effectiveness in generation of reports on donor portfolios, pledges, and other development-related information
  • Timeliness and professionalism in communicating with donors and external partners
  • Reliability in providing operational support for the Development department
  • Effective coordination with ACLUM colleagues and National ACLU stakeholders

Compensation

Salary commensurate with experience and consistent with ACLUM’s collective bargaining agreement. Estimated minimum annual salary of $62,500. Benefits include 401(k) plan, medical and dental insurance, and paid vacation and holidays proportionate to work schedule.
