Hours:                                  Full Time – 35 hours per week, Monday - Friday

Position Summary: Support the Director of Grants and Budgets in the administration and management of all agency government grants and contracts. Directly manage and maintain application, registration and compliance documentation in agency files and in funder and governmental databases and portals. Maintain and ensure adherence to timelines and due dates for all grant applications and compliance submissions.

 

Responsibilities:

  • Track and monitor grant compliance and partner with grants management staff to ensure compliance with grant guidelines
  • Ensure timely contract close-out, extension or renewal, modifications, and monitor transaction compliance (milestones, deliverables, invoicing etc.)
  • Lead and assist agency staff with every aspect of grants process from application to close including amendments and modifications
  • Lead and/or support registration of all government grants and serve as an AOR (Authorized Organizational Representative) to submit applications to government agencies electronically and manage all grant portals submission and activities
  • Ensure all pre-submission portal requirements are met, i.e. agency eligibility requirements and paperwork submitted
  • Create and maintain city and state web application profiles (PASSPort, HHS Accelerator, Grants Gateway, etc.) and qualification statuses
  • Coordinate all proposal collaterals and attachments for submission and uploading into submission portal and maintain contractual records and documentation including executed agreements, reports, payments, subcontracts, forms, and correspondence
  • Support any requests for extension and budgets amendments are submitted to funders in a timely manner
  • Manage calendar and process of renewal applications for existing and multi-year government grants

 

QUALIFICATIONS

  • Bachelor's Degree or successful combination of education and relevant experience
  • Demonstrated ability to maintain records and keep appropriate files and archives of verified work
  • Grant management experience or similar related experience preferred
  • Strong written and oral communication skills
  • Ability to prioritize, multi-task, and meet deadlines
  • Highly organized and detail-oriented
  • Strong problem-solving and critical thinking skills
  • Comfortable working in a fast-paced environment, handling multiple projects and interfacing with a diverse range of internal staff and external entities
  • Demonstrated experience collaborating across teams, including finance a plus
  • Proficiency with office software and hardware
  • Experience with or comfortable with navigating grants web portals online; experience with PASSPort, HHS Accelerator, Grants Gateway strongly preferred
