POSITION:                             Project Manager

DEPARTMENT:                        Advancement

LOCATION:                            Los Angeles Campus

 PRINCIPAL RESPONSIBILITIES:

The American Film Institute seeks an Project Manager, Advancement to support a growing fundraising team. Reporting to the Chief Advancement Officer and working closely with the Senior Manager of Advancement Operations, the Project Manager will support the needs of the Advancement Team by providing excellent administrative support and project management both internally and externally.  The Project Manager will be a key liaison between the Advancement department and other internal departments.

 

PRINCIPAL DUTIES:

  • Project manage advancement-related activities - donor engagement events, cultivation and solicitation calendars, cross-departmental learning opportunities, etc.
  • Analyze, adapt and implement systems and processes to create efficiencies within advancement functions and connect all activities to strategic plan and annual operating plan.
  • Ensure all donor data is captured in our Client Relationship Management (CRM) system and shared files are impeccably organized and maintained.
  • Assist with the operations of the Advancement Office’s Individual Giving, Major Giving, and Institutional Giving programs, managing the needs of individuals or teams by attending, tracking and participating in quarterly check-in meetings with partner teams.
  • Research information about prospects and donors, update records, generate simple reports using the database, and draft memos and briefings.
  • Track and report on incoming funds and gifts.
  • Organize and update standard operational procedures and policies.
  • Work cross-departmentally to ensure strong collaboration between the Advancement Team and the Office of the President & CEO, Conservatory, Marketing and Communications, and Finance on all donor-related projects and programs
  • Support day-to-day scheduling, note-taking, meeting and event logistics, and planning needs of Chief Advancement Officer and Advancement Team.
  • Perform other duties as assigned.
EXPERIENCE/SKILLS REQUIRED:
  • Bachelor’s degree and preferably Master’s degree.
  • Minimum five years of experience providing administrative support in a fast-paced environment, performing a broad spectrum of core general administration functions for senior level management.
  • Knowledge of fundraising and philanthropy, experience working in nonprofit section, preferably higher education and/or arts and cultural institutions.
  • Strong time management, organizational and multi-tasking skills coupled with the ability to work independently with speed, accuracy, and attention to detail with minimal supervision.
  • Ability to work strategically and collaboratively across the organization.
  • Ability to work well under pressure with tight deadlines and multiple priorities.
  • Strong self-motivation and self-initiative with the ability to take direction.
  • Strong diplomacy skills and consistent professionalism; this includes the ability to maintain complete confidentiality and discretion.
  • Excellent presentation, interpersonal and communication skills, including strong oral and written skills as well as excellent grammatical and proofreading abilities.
  • Possess a positive and professional attitude with the ability to work as a member of a high-energy, results-oriented team; ability to work with all levels of the organization.
  • Exceptionally detail-oriented with the proven ability to handle numerous tasks with appropriate follow-up and reporting activities while not losing sight of the big picture.
  • High level of proficiency with Microsoft Office (Word, Excel, and PowerPoint); comfortable working in an IOS-based (Mac computer) environment.
  • Must be available by personal cell phone during non-office hours for time sensitive, business-related communications.
