Milwaukee School of Engineering (MSOE) invites applications for a full-time Director of Donor Relations and Stewardship to join our University Advancement team. Under the direction of the Senior Director of Development, the Director of Donor Relations and Stewardship will be responsible for the overall planning and implementation of a comprehensive donor relations program. This person will provide critical support to the University Advancement team by stewarding and recognizing donors and their charitable contributions to the University. This person must have the ability to maintain strict confidentiality, attention to detail, and work well independently and as a team member.
Essential Duties and Responsibilities
This position will develop and implement stewardship efforts and build meaningful relationships with constituents, create and customize stewardship and management correspondence and reports, oversee special events, write content for printed communication and be the primary liaison for scholarship administration.
- Stewardship and Recognition (30%)
- Evaluate systems and processes to prepare for implementation of regular stewardship and recognition activities.
- Regularly connect with donors and work with them to ensure donor intent is carried out (in-person, written, digital, etc.)
- Work closely with gift officers to identify, develop, and implement stewardship strategies for donors, ranging from written impact reports to visible and personalized recognition.
- Prepare written documentation/communication to donors and key staff members. Inform the President, VP’s and development personnel of important facts and information regarding major donors, i.e. birthdays, anniversaries, special accomplishments, in connection with cultivations and solicitations
- Oversee various giving societies and memberships associated with giving levels recognizing annual gifts, planned giving, loyalty giving and cumulative lifetime philanthropy.
- Lead the coordination of special events (recognition, dedication, etc.)
- Donor Recognition (20%)
- Director of Donor Relations is responsible for the coordination of all donor recognition on campus. They will work collaboratively with University Advancement leadership, donors, Director of Advancement Communications to make sure signage and recognition is produced accurately and according to agreements made with donors.
- Director of Donor Relations will work with Senior Director of Development, Vice President for University Advancement and University Marketing to develop special recognition signage for donors when appropriate.
- Scholarships and Endowment Reporting (30%)
- Provide detailed analysis of scholarship program, donors and recipients - Maintain contact with donors and family members who have established endowed and annual scholarships, including award amounts, names, and a brief bio of students selected as scholarship recipients.
- Coordinate receipt of Scholarship Thank-you letters.
- Collaborate with the Financial Aid Office to create annual donor reports for endowed funds, including scholarships, awards, and chairs.
- Act as liaison between Financial Aid and the Office University Advancement.
- Act as the liaison between scholarship donor and recipient(s) to assure that named scholarships are awarded
- Gather information, stories, photos, etc. for stewardship reporting
- Assess and distribute scholarship data to internal staff
- Plan and execute an annual scholarship stewardship event.
- Administrative and Strategic (15%)
- Responsibility for the coordination of all stewardship aspects of the University.
- Oversee proper documentation as related to donor stewardship and engagement
- Attend department and campus meetings
- Catalogue and maintain lifetime and annual giving recognition societies, displays, etc.
- Works closely and collaboratively with the members of the development staff to accomplish the goals of the University at large.
- Professional Development (5%)
- Participate in industry conferences, webinars, and professional societies
- Continuing education/maintain expertise on research techniques and resources
Other Duties and Responsibilities
- Participate as a member of the Office of University Advancement
- Assist with annual giving projects as needed

- Bachelor’s degree from a regionally accredited college or university in a directly related area of specialization and/or equivalent years of experience directly related to the job functions.
- Relative Experience should also include: Principles of fundraising, Basic accounting skills, Writing skills, Previous experience with a donor database and Microsoft Office as well as the interpersonal and communication skills necessary to present MSOE in a positive manner to the public, current and potential donors, and internal personnel.
- The written and analytical skills necessary to create, research, and write materials to effectively educate, motivate, and acknowledge donors.
- Moderate to Advanced. The mathematical skills necessary to prepare event budgets and project revenues.
- Maintain strict confidentiality of all transactions, corporate records, and files.
- Must have demonstrated sensitivity and professionalism when dealing with community organizations, non-profit agencies, governmental representatives, and stakeholders.
- Ability to use judgment, tact, and discretion when handling complex and confidential material.
- While performing the duties of this job the employee is largely sedentary, the ability to move is required. The employee is occasionally required to traverse within their work area as well as other areas on campus.
- Ascending and descending of stairs (building that does not contain an elevator).
- This job operates in a professional office environment. This role uses standard office equipment, including but not limited to computers, phones, photocopiers, filing cabinets, and fax machines.
