Development Coordinator

Position Summary   

Working under the direction of Mary’s Center’s Director of Individual Giving, the Development Coordinator will play a crucial role in supporting the Development department with day-to-day office support, donation and acknowledgment processing, and administrative duties. This position will be required to work on-site at least two days a week. This is a full-time position.

Reportability        

This position will report directly to the Director of Individual Giving but will also receive direction from various members of the Development team.

Essential Duties and Responsibilities     

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. 

Donor Communication Support 

  • Prepare donor acknowledgment letters and personalized cards.
  • Support the Individual Giving Team with mailing campaigns, including mail merges and printing of materials. 
  • Prepare donor profiles for Development staff. Conduct donor and prospect wealth screenings and research on iWave and Alumni Finder platforms.  

Gift Entry 

  • Ensure all donation documentation, including donation reports from third-party giving platforms, is collected and recorded.
  • Serve as a liaison between Development and Finance to communicate about gift designation instructions. Responsible for the monthly reconciliation of all electronic donations.
  • Responsible for entering Individual Giving and Corporate pledges on Raiser’s Edge in a timely manner.  
  • Process all checks and credit card payments, and complete deposit forms with proper booking and gift set-up.

Data Collection and Hygiene  

  • Administer general database tasks including entering constituents and gifts, maintaining updated record information, compiling basic reports, and providing database support for Development team.  
  • Work to eliminate duplicates in the database in addition to identifying and addressing system errors in duplicate matching.
    • Run Duplicate Management Tool quarterly.  
  • Support team with data clean-up projects. 

Administrative duties:

  • Responsible for managing office supply inventory and ordering and restocking inventory when needed. Organizing and tidying up storage space when necessary.
  • Support the Development department by scheduling meetings and maintaining meeting minutes.
  • Prepare monthly credit card reconciliation reports and submit necessary documentation to Finance department for vendor set-up, check requests, and bid comparisons.
  • Create and share Microsoft Whiteboards to Development team members for staff birthdays and miscellaneous life events.
  • Support Corporate Partnership team with Corporate Service Day activities and Thanksgiving and Holiday drive logistics.
  • Manage the administrative tasks for the Energy Assistance Program, coordinating internally with the Finance Dept and externally with Pepco for the payments.
  • Assume other tasks and responsibilities as needed.

Knowledge, Skills & Abilities –

  • Minimum of High School Diploma or GED equivalent.
  • Previous experience in an office setting highly desirable.
  • Experience with database systems strongly preferred.
  • Attention to detail is critical for success in this job. 

Language Requirement – Ability to communicate effectively in English is required.  Additional language proficiency or fluency is a plus.

Physical Demands – Regularly required to sit; frequently required to reach with hands and arms, walk, stoop, kneel, crouch, talk or hear; must be able to lift objects up to twenty-five (25) pounds. 

Work Environment – Mostly in a typical office and/or home setting with a quiet to moderate noise level.  Hybrid remote work schedule.
